Your school's casual list on ClassCover is a living resource – it needs regular maintenance to stay effective. A healthy, active list is key to filling bookings quickly and reducing non-responses. If your list is overloaded with inactive or unresponsive casuals, it can lead to unfilled bookings and added admin stress.
To get the most out of ClassCover, we recommend reviewing your list on a termly basis using the List Health Checker, and taking advantage of built-in tools to clean up and improve your list. This article will guide you through practical steps to remove or manage inactive casuals, invite new ones, and ensure your list stays in top shape.
Step 1: Get a Quick Overview of Your List Health
To start cleaning up your list, head to your ‘My List’ page and check out your List Health indicating the activity of your list of casuals.
If you notice a high rate of inactive casuals, it’s time for a clean-up! A casual is marked as inactive if they haven’t logged in, responded to a job request, or updated their availability in the past 90 days. A large number of inactive casuals can lead to unfilled bookings and a high rate of non-responses to your requests.
Step 2: Identify Inactive Casuals on Your List
There are a couple of ways to determine which casuals are no longer active:
Filter by Inactive Casuals
In ‘My List’, you can filter casuals by their status (active/inactive) feature to view only the active ones.
Use the ‘Active’ Time Feature
Check the ‘Active’ section in each casual’s preview to see how recently they’ve been active. If the last activity shows more than 3 months ago, the casual may no longer be available for casual work.
Step 3: Take Action on Inactive Casuals
Once you've identified inactive casuals, you can take the following actions:
Organise Your Casuals with Stars: Internal Star Ratings make it easy to manage casuals based on your preferences, availability, and needs.
Nudge Inactive Casuals: Use the ‘Nudge’ button (also available on the mobile app) to prompt inactive casuals to update their availability or deactivate their profile if they no longer wish to work. For incomplete profiles, the nudge reminds them to complete their details. You can choose which casuals to nudge.
Bulk Actions: Filter by inactive casuals and choose from the following options:
Bulk suspend inactive profiles.
Bulk delete profiles.
Send a bulk message to ask if they’re still available to teach at your school. (Learn more about the message casuals feature here.)
Step 4: Add to Your List of Casuals
To rebuild your list of casuals, use the following features:
Check Your Requests
Go to the ‘Requests’ tab in ClassCover (available on both desktop and mobile) to review and approve any casual requests to join your list. Casuals can submit requests to be added, and with an average of 14,000 requests each month, you likely have pending applications waiting for your approval.
Post a Casual Call-Out on ClassCover Jobs
With ClassCover Jobs, you can post a call-out inviting casuals to apply to be added to your list. After a casual applies, you can easily view their profile and cover letter and add them to your list with a single click. Learn how to post a casual call-out.
Use the ‘Find New’ Feature to Add Casuals Near You
Search for new casuals in your area using the ‘Find New’ search tool, available on both the browser and mobile app versions of ClassCover. Learn how to use the 'Find New’ feature.
