Whether you’re new to ClassCover or simply refreshing your school's list of casual staff, knowing how to add your regulars and discover new ready to book casuals is essential for ensuring smooth and successful bookings.
Having a healthy, active list of casuals, including teachers, teacher aides SLSOs / SSOs, and other support staff, means you’ll always have options when staff absences arise.

Quick Ways to Build and Manage Your List
1. Discover New Casuals Using the ‘Find New’ Feature
You can easily search for casuals using the ‘Find New’ option under the Discover tab on both the desktop and mobile versions of ClassCover.
On the mobile app, simply go to ‘Teachers’ and select ‘Find New’.
Use the following filters to narrow down your search:
Availability: Find casuals available on specific dates.
Location: Filter by state and refine the search based on proximity to your school.
Subject Tags: Search for casuals with subject-specific experience.
Levels: Choose based on Australian school levels.
Role Type: Select between teaching and non-teaching roles.
Once you find a casual you're interested in, click on their profile to view the details in a pop-up window. You’ll see their availability status indicated by:
Green: Available
Red: Unavailable
Grey: Availability not indicated
If you're happy with the casual and would like to invite them to join your list, simply exit their profile and click ‘Send Invite’ next to their name. They will be notified and can accept the invitation directly from their profile.
Note: ClassCover does not vet or verify casual staff unless it’s stated that we do so for your school’s governing body (eg: NSW Department of Education, Brisbane Catholic Education). It is the responsibility of each school to confirm qualifications, registration, and suitability to work through the appropriate governing or teacher registration bodies.
2. Add Your Existing Casuals Using the 'Add New' Option
If you already have a pool of casuals – or if new casual staff have handed in resumes – you can manually add them to your list using the ‘Add New’ option in My List. This can be done individually or in bulk.
To add a casual, simply enter their name, mobile number, and email address.
If the casual already has a ClassCover profile, this will connect their existing account to your school.
If they don’t yet have a profile, they’ll receive an invitation to join, along with setup instructions.
By including their mobile number, you can still send booking requests while you wait for them to complete their profile. These requests will be delivered via SMS, so there’s no delay in getting them booked.
Bulk Adding Casuals:
Go to ‘My List’ and click ‘Add New'.
Select the ‘Bulk upload’ tab.
Download the example spreadsheet and fill it out with the details of your casuals.
Upload the completed spreadsheet, and the casuals will be added to your list by clicking Save.
Casuals with existing ClassCover profiles will be notified, while those new to ClassCover will receive a welcome email with instructions to set up an account.
Adding Casuals Individually:
For adding just one or a few casuals:
Choose ‘Add Individually’ to manually add one or more casuals. Include mobile number and email address.
Fill out the available details and click ‘Save'. You can also click ‘Add Another’ if you have more casuals to add.
3. Approve Requests from Casuals to Join Your List
Casuals can request to join your school’s list, and you have the ability to review, approve, or decline these applications. You can manage these requests easily from the ‘Requests’ page under the Discover tab. For more information, check out this article.
4. Post a Call Out via ClassCover Jobs
You can post a call out on ClassCover Jobs to invite casuals to apply and join your school’s list. This is a great way to expand your pool of available casuals, allowing you to attract qualified candidates who are interested in working at your school. By posting a call out, you ensure you have a ready list of casuals when you need them most.
Best Practice for Maintaining a Healthy List
We recommend that schools, particularly medium to large ones, begin with a list of at least 50 casuals and regularly update and refresh it to ensure you always have adequate coverage. By maintaining a diverse and up-to-date list, you’ll be able to quickly fill booking requests and avoid gaps in staffing. Regularly reviewing your list also ensures you have casuals with the right qualifications and availability to meet your school’s needs.
