How to use the Cash Register and complete a cash up

Turn on cash ups, record cash going in and out of your drawer, count your cash at the end of a shift and review past cash ups.

Written by George

The Cash Register is where you manage the cash in your till. Use it to monitor your drawer, record cash movements, complete cash ups and review past sessions. Find it in the sidebar.

Turn on cash ups

An admin needs to turn on cash ups before staff can use them.

  1. Go to More > Store Settings > Payments & Discounts > Cash Ups.

  2. Turn on Enable cash ups.

  3. Optional: turn on Force starting cash to make staff check the opening cash at the start of each shift.

Force starting cash helps when more than one person uses the drawer. When one person finishes a cash up and leaves $200 in the drawer, the next person can confirm the $200 is there before they start.

The page has two tabs: Cash Register for the current session, and History for completed cash ups.

Current session

The Cash Register tab shows the station that’s open at your till, whether the session is Open, and when it was opened. Two figures sit at the top:

  • Opening Cash: the cash in the drawer when the session started.

  • Est. Cash: the cash you should have in the drawer now. It’s the opening cash, plus cash sales, plus pay-ins, minus pay-outs.

Open Register opens the register manually. Add/Remove Cash records cash movements, and Complete Cash Up closes the session. Both are explained below.

Activity in this period

Below the figures, you’ll see all cash movements since the last cash up. That includes orders paid in cash, invoices paid in cash, pay-ins and pay-outs. Use it to check where the Est. Cash number comes from.

Add or remove cash

Use Add/Remove Cash whenever cash enters or leaves the drawer outside of normal sales. For example:

  • Adding change to the till, like $20 in coins.

  • Taking cash out for banking.

  • Paying a supplier from the drawer.

  1. Select Add/Remove Cash.

  2. Choose Pay In or Pay Out.

  3. Enter the amount.

  4. Select Submit.

Record every movement so Est. Cash stays accurate.

Complete a cash up

When you’re ready to close the session, select Complete Cash Up.

Count the cash

  1. Count the notes and coins in the drawer. They’re on separate tabs.

  2. For each denomination, enter the quantity with the + and − buttons, or type it in.

  3. CleanCloud calculates the value of each denomination and the Total Counted as you go.

  4. Select Continue.

Confirm closure

The next screen shows a summary before you finish:

  • Starting Cash

  • Transactions

  • Pay-ins

  • Pay-outs

  • Expected in Drawer

Below that:

  • Counted Cash: the total you entered.

  • Difference: the gap between expected and counted. A difference is highlighted so it’s easy to spot. This should be zero.

Before you submit, enter:

  • Cash Left in Register: the amount that stays in the drawer as the next session’s opening cash.

  • Notes: optional. Use it to explain a difference.

The Net Deposit is calculated for you. It’s the cash to take out and bank.

Select Submit to complete the cash up and close the session.

View previous cash ups

The History tab lists every completed cash up. Each row shows:

  • Date & Time

  • Station

  • Closed By: the staff member

  • Total Counted

  • Variance

Shortfalls show in red. Sort the list with the Date & Time column. The total number of records is at the bottom of the page.

To see the details, select View on a row. It shows the counted totals, expected totals, notes and the variance. If you’re off, use it to work out why. For example, a $50.00 shortfall points to money missing, not a rounding issue.
