How to Post Opportunities to the Clinical Experience Search Page

Student requested rotations allow students to view and apply for rotations right from our search page. To configure rotations for students to apply, you can follow the steps outlined here.

Adding Application, Onboarding, Active and Offboarding Steps

Clinician Nexus offers several opportunities to collect and review important documentation prior to or after a student's rotation at your site. You're able to add steps that are required based on the needs of your site.

Here's an overview of each type, and what information may be useful to collect at each point.

Application Steps:
Creating application steps can be helpful in supporting the student requested workflow. Steps can be created to collect information you need in order to decide whether or not to accept a student into a rotation.

Onboarding Steps:
โ€‹Onboarding steps are tasks or documents that need to be completed and/or uploaded into Clinician Nexus before a student arrives on site. There are several configuration options, depending on who needs to complete the task, whether it be the student, faculty, school coordinator or clinical site.

Active Steps:

Active steps are tasks, or documents, requiring completion in Clinician Nexus while a rotation is taking place at your site. This may include any step you as the site coordinator need to complete during a rotation. There are several configuration options, depending on who needs to complete the task, whether it be the student, faculty, school coordinator or clinical site.

Offboarding Steps:
โ€‹Offboarding steps are tasks or documents that need to be completed and/or uploaded into Clinician Nexus after a student's rotation is complete. This is often a step used to collect evaluation information about the site, rotation, and/or preceptor.

Adding Steps

  • Click Settings on the left side of any page

  • Then, from the submenu, click the step type you'd like to configure

  • From here, click +Add step:


Creating Services

  • To add a service, click Services on left menu

  • Then, from the submenu, select +Add service

  • From here, you can add and configure information for the general service areas of your facility.


Add Student Requested Opportunities

  • Click Services on the left side of any page

  • Then, from the submenu, select a service from the sub-menu

  • Next, click +Add opportunity:

Or duplicate the configurations of an existing opportunity window by using the duplicate icon next to the red trashcan icon- and adjust the name and details as needed.

Set the workflow type to student requested by togging on Post to search page.

Adjust the student discipline, date range, and other criteria to fit your organization's availability to accept student applications in a given service area. Elective rotation settings are also available for accepting or blocking students from certain schools from applying to elective rotations at your facility.


Review Applications

Once a student has submitted a request for an elective rotation at your site, you'll be able to review their application, steps completed, date range requested, and other notes. From there, you'll have the ability to accept, close, or add the rotation to a waitlist.

  • Click the application in pending status from your Rotations page

  • Then, review the criteria in the application

  • Next, take an action on the application:


Monitor Onboarding Progress

When you log into the Clinician Nexus platform, you'll automatically be directed to the Rotations page. This view is meant to give you an overview of where each student rotation is in the process and also draws your attention to what tasks you may need to complete:

  • Click on the rotation(s) listed in a Pending status. In the rotation window you can confirm, cancel, or propose changes to rotations as needed.

  • Rotations with a purple or yellow icon means there are one or more steps that you can complete or verify for the rotation.


Reporting

From the left navigation menu, click Reports. Then click the Students tab from the left submenu. On this page, you can filter, run, and export a list of dates included in each application and onboarding step you've set up.

Clicking Application steps / Onboarding steps from the Reports submenu will show what steps have or haven't been completed for each student, based on the criteria you select. This way you can determine what step(s) a student may be missing, and reach out to them if their rotation is coming up.
