How to enable & add recurring bookings

Recurring bookings make it easy to enrol a contact in bookings for an event series that runs forever.

What are Recurring Bookings?

Recurring bookings allow a contact to be automatically enrolled in all current and future events within an ongoing series.

When an event series is set to repeat “until further notice”, Clubworx will:

  • Immediately generate 365 days’ worth of events for that series.

  • Automatically add new events weekly to extend the series.

    Important:
    If a contact is booked into an infinite event series using "Book All", they will only be enrolled in events that currently exist. They will not be added to newly generated future events unless recurring bookings are enabled.

    With recurring bookings, a contact is automatically booked into:

    • All existing events in the series.

    • All future events added to the series.


Membership Requirements for Recurring Bookings

To enable recurring bookings for a member, their membership plan must allow it.

You can check this by going to the member's Membership Settings:

Membership > Class Access > Recurring Bookings

If recurring bookings are not permitted under the membership, users will be unable to activate them for that contact.


Who Can Enable or Disable Recurring Bookings?

Only Clubworx users (staff or business owners) can manage recurring booking settings.

Members cannot enable or disable recurring bookings themselves—this option is not available via the Clubworx app or website timetable.


How to Enable or Disable Recurring Bookings

There are two ways to manage recurring bookings for a contact:

1. Via the Member’s Profile:

Member Profile > Attendance > +Add > Book Event > Select Event > Under “How many bookings?” > Enable Recurring Bookings

2. Via the Event Calendar:

Calendar > Event > “...” next to the member’s name in the Attendee List > Enable/Deactivate Recurring Bookings


Once enabled, recurring bookings can be turned off at any time, from the event calendar or the contact profile page as shown above.


View Recurring Bookings

To view a member’s recurring booking history:

Member Profile > Attendance > Recurring

Here, you can see all active and previously deactivated recurring bookings.
