How to Transfer Members into Clubworx Using Waivers

This article will show you how to transfer your members from your existing system into Clubworx using Waivers.

Transferring your members into Clubworx is now possible via a waiver!

To get started, make sure you're on either our Accelerating or Established plan. To check this, go into My Subscription > Change Plan.

How do I start the transfer?

First, you'll need to create a new membership plan. Go into settings > membership plans > new plan:

As this plan is for a member transfer, we'll name it "Member Transfer" for the time being. We then want to make sure there are no costs, and no classes permitted under the plan:

Save and close the membership. Make sure its not shown on the website:

Next, lets set up the waiver.

Go into waivers > new waiver. So we can easily identify that this one is being used for a member transfer, let's name is "member transfer waiver". We want to select "Sign up new members" for this waiver. As usual, we also want to make sure all contacts can sign the waiver, and that the waiver requires review.

Complete the waiver fields as you usually would. Make sure you keep the member details section in your waiver and use your internal gym policies and advice to complete the terms and conditions and waiver and release, if you would like these included in your waiver.

When you reach the "Membership Options" section, let's make sure that only our "Member Transfer" plan is shown on this waiver, as we're using it for the purpose of transferring existing members into the gym.

Complete the rest of your waiver fields as you would like them to appear and hit "Save + Publish" when complete and ready to activate

You will now see your new waiver under "Waivers". Make sure its not visible on your website by hitting the toggle.

Copy the link to your clipboard in order to issue your Member Transfer waiver to people you want to transfer into your Clubworx gym:

What happens when someone completes the waiver?

When someone fills out your waiver, it will appear in your "Pending Review" section of your "Waivers" tab:

You will then need to review the waiver in order to make sure everything is correct.

You may receive a message such as the one below, which will appear if the contact already exists in your gym. Once you have reviewed the waiver, you'll have the option to merge it to an existing contact, if you'd like to do so:

You'll also have the option to change the membership plan for that member when reviewing the waiver:

When everything is updated and looks good, you can then approve the waiver at the bottom:

If you've made changes to the membership, you will receive this pop up below. Select the option that suits the scenario:

Then, if you head into your member's profile, under the "Activity" Tab, you'll see records of the signed waiver and any membership changes:

That's all there is to it!

From there, you will have an active gym member transferred into your Clubworx gym.
