What happens when I accept a waiver?

There are different ways that Clubworx handles waivers for new prospects, new members and collecting information from other contacts.

Clubworx has 3 different types of waivers that you can use to collect information about your clients. This article will explain the process that happens once someone has submitted each of the different kinds of waivers. When someone has submitted a new member or prospect waiver it will appear in your 'Pending Reviews' List. 

Once you click on the 'Review' button you will be able to either 'Accept' or 'Reject' the waiver. 

1.  Sign up New Members Waiver

You can change the membership details on the 'Review Waiver' page before accepting the waiver. By accepting the waiver, you will initiate the following process:

  • A new member or multiple contacts (dependent on whether the client completed an 'Adult' or 'Adult with Children' waiver) will be added to Clubworx for this waiver. This is why it is very important that only new members complete this waiver, otherwise duplicate members will be created in the system. If this was a family waiver, the relationships between contacts will also be created automatically.

  • The selected membership/s will be added to the member/s that was created in the previous step.

  • Payments will be created dependent on the membership that was selected and the details that were set on the 'Review Waiver' page. The default setting is for memberships to start on the day that the waiver is accepted. Hence payments could be created and submitted for the same day if it was set up this way in the waiver.

  • The new member can now be booked into classes using your calendar.

2.  Sign up New Prospects Waiver

This type of waiver is useful for when you only want to add prospects in Clubworx to allow bookings of free trial classes, for example. No payment details are collected or memberships added for these contacts. 

By accepting the waiver, you will initiate the following process:

  • A new prospect or multiple contacts (dependent on whether the client completed an 'Adult' or 'Adult with Children' waiver) will be added to Clubworx for this waiver. This is why it is very important that only new prospects complete this waiver, otherwise duplicate prospects will be created in the system. If this was a family waiver, the relationships between contacts will also be created automatically.

  • The new prospect/s can now be booked into classes that have been set up to allow free attendance by prospects.

3.  Other - Collect details from non-attending people Waiver

These waivers do not need to be reviewed before the contacts are added to Clubworx. A new contact or multiple contacts (dependent on whether the client completed an 'Adult' or 'Adult with Children' waiver) will be added to Clubworx as soon as it has been submitted. If this was a family waiver, the relationships between contacts will also be created automatically.
