Manage and organize all coaches within your organization from one central location. Add new coaches, assign roles, and monitor coaching performance across your entire team.

What You Can Do

The Coaches page provides complete team management functionality:

  • View all coaches in your organization at a glance

  • Add new coaches to expand your team

  • Manage roles and permissions for different access levels

  • Monitor coach performance and client relationships

  • Transfer coaches between organizations (with support assistance)

Adding New Coaches

For New CoachRx Users

  1. Click "Add Coach"

  2. Enter coach details:

    • First name

    • Last name

    • Email address

  3. Click "Add"

  4. The new coach receives an invitation email to set up their account

For Existing CoachRx Users

If the coach already has a CoachRx account with another organization:

  1. Contact CoachRx support directly at coachrxsupport@opexfit.com

  2. Provide the coach's current email address

  3. Request the transfer to your organization

  4. Support team will handle the account migration

Note: You cannot directly add coaches who already exist in the CoachRx system - this requires support assistance to prevent account conflicts.

Coach Roles and Permissions

Understanding role hierarchy helps you assign appropriate access levels for your team structure.

Coach Role

Access Level: Basic coaching functions

  • Manage assigned clients only

  • Cannot view other coaches' clients

  • Limited to individual coaching activities

  • No administrative capabilities

Admin Role

Access Level: Enhanced coaching and management functions

  • Manage assigned clients

  • View other coaches' clients and their communications

  • Access coaching performance data

  • Limited business management capabilities

Super Admin Role

Access Level: Full organizational control

  • All Admin capabilities

  • Complete business management access

  • Organization settings control

  • Financial and reporting access

  • Coach role management

Managing Coach Access

Changing Coach Roles

  1. Locate the coach in your coaches list

  2. Click three dots next their name

  3. Select new role level

  4. Changes take effect immediately

Role Assignment Best Practices

  • Start with Coach role for new team members

  • Promote to Admin once they demonstrate competency

  • Limit Super Admin to key leadership only

  • Regular review of role assignments as team grows

Monitoring Coach Performance

Available Insights

Admins and Super Admins can view:

  • Client count for each coach

  • Compliance metrics across coach's client base

  • Comment history and client interactions

Using Performance Data

  • Identify training needs for underperforming coaches

  • Recognize top performers for recognition or mentoring roles

  • Ensure communication standards are being met

Q: Can coaches see each other's clients?

A: Only Admins and Super Admins can view other coaches' clients. Regular Coach role users see only their assigned clients.

Q: What happens to a coach's clients if I remove them from the organization?

A: All clients will be automatically transferred to the Organization owner when a coach is deleted.

Q: Can I limit which features coaches can access?

A: Access is controlled through the three-role system. You cannot create custom permission levels beyond Coach, Admin, and Super Admin.

Q: How do I transfer a coach between organizations?

A: Contact CoachRx support at coachrxsupport@opexfit.com. They will handle the transfer process to prevent account issues.

Q: Can coaches change their own role level?

A: No, only Admins and Super Admins can modify role assignments for other team members.

Q: What's the difference between Admin and Super Admin?

A: Super Admins have full business management access including financial data, while Admins focus on coaching oversight and client management.

Q: Is there a limit to how many coaches I can add?

A: No, CoachRx does not limit how many coaches you can add.
