How Check-in is designed

Understanding weekly and manual check-ins: what does your client experience, and how the flow works.

Written by Malene Malmkjær

Two Types of Check-ins

Coachway has two ways for clients to submit a check-in:

  1. Weekly check-in: shows up automatically on the client's homescreen based on the frequency you as a coach set in Settings. This is the standard flow most coaches use.
The first weekly check-in can also arrive on the first check-in date you set for the client. Before that date, no check-in shows up.

  2. Manual check-in: the client can submit an extra check-in anytime from their profile. This creates a separate entry and does not replace the weekly one.

Both show up in the client's Development tab on your end.

What the Client Sees

Check-ins are step-based; one question per screen, not a long scroll. The client taps through each step, fills in their answers, and hits Done at the end.

Note: There is also a Continue later option at the bottom of each step. If the client taps this, their answers are saved as a draft, but the check-in is not submitted. You will not see it until they go back and complete it.

Where to Find Check-ins as a Coach

When a client submits a check-in, it appears in two places:

  • Inbox: as a message in the chat

  • Development tab: on the client's profile

Clicking the check-in message in the Inbox takes you directly to that specific check-in. The same works in the coach app: tapping a check-in card in the chat opens that exact check-in.

Setting Check-in Frequency for New Clients

Go to Settings → Account and scroll to Check-in defaults. This is where you set the default frequency, period, and weekday that gets applied automatically whenever you start up a new client.

The standard is every 1 week on Mondays. If you usually run a different rhythm (for example every 2 weeks, or check-ins on a Wednesday), set it here and every new client you onboard will start with that setup, so you do not have to adjust it manually each time.

Remember to define both the frequency and the period. This only changes the default for new clients. Existing clients keep their current settings, but you can change those individually.

You can also choose the date of a new client’s first check-in when you create them. This is useful when the client starts later than the week you add them, so they are not asked to check in before they have begun.

Changing an Existing Client's Check-in Form and Schedule

To change the check-in setup for a client who is already active, open their profile and click the ⚙️ settings. This opens Client settings.

Click on Forms. Here you can:

  • Select check-in form: choose which form this specific client receives.

  • Reminder Schedule: set how often they are reminded to check in (Daily, Weekly, or Monthly).

  • First check-in date: choose when this client’s first check-in should be.

  • Skip check-in: skip the check-in if the client is sick or on holiday.

Click Save schedule when you are done. These changes only affect this specific client, so you can give individual clients a different form or cadence without touching your defaults or anyone else.

Can You Turn Check-ins Off?

If a client only needs a week or two off, you don’t need to change their schedule. Skip the check-in instead. It won’t count against their completion or streak, and they won’t get a reminder.

There is no setting that switches check-ins off completely. What you can do is put them out so far in the future that they no longer show up as part of the routine.

Do this under Settings → Account → Client defaults as a default, or per client under their profile → Client settings → Forms.

Choose Month as the period and set the frequency to 4 or 6, and the client will only be notified a couple of times a year instead of every Monday.

Note: the manual check-in is always available to the client. No matter what frequency you set, they can still submit a check-in anytime from Profile → New Check-in

Editing the Questions in a Check-in Form

You can edit the questions in any check-in form under Forms → Forms.

When you change a form's questions, the update applies to every client who is assigned that specific form. The change takes effect from each client's next check-in onward.

Check-ins that have already been submitted are not affected, so historical answers stay exactly as they were.

Finding your Missing Check-ins

From your Client Overview, you can use the "Missing Check-ins" filter to see all check-ins that have not yet been marked as read.

This list includes both newly submitted check-ins and older check-ins that are still unread. Skipped check-ins are not included.

Marking Check-ins as Read

To mark a check-in as read you have two options:

  1. Go to Client --> Development and click "Mark as read". When this is done it will be marked as read for you and the client.

Note that an unread check-in can exist in the past - click between "Previous" to see it.

  2. Go to the client chat and click Mark as reviewed. This is a shortcut so you do not need to open the Development tab and mark as read from there.

  3. In the coach app, open the client and tap Review on their latest check-in. Use the arrows to move between check-ins and mark them as read one by one, or mark them all as read at once.
