Description: Store up to three points of contact on a site so inspectors in the field know who to call.
Overview
A site's contacts are the people to reach about that site — the superintendent, the property manager, the environmental lead. ComplianceGo holds up to three per site.
Contacts are reference information for whoever is standing at the site. They're plain text, not user accounts.
📝 Adding a contact does not give that person access to ComplianceGo, and does not sign them up for notifications. Nothing is ever sent to a contact for being a contact. Those are two separate things — see Managing People and Roles on a Site and Setting Up Notification Recipients for a Site.
📝 The first contact's name does appear in some notifications, such as permit expiry reminders — but it goes to the site's notification recipients, not to the contact.
Before You Begin
You need Editor access to the site. Contacts live on the site's own edit page, so an inspector role isn't enough — an Inspector can't edit site information and so can't change contacts.
A site holds a maximum of three contacts. There is no fourth slot — once all three are filled, bringing somebody new in means replacing one of them.
Opening the Site for Editing
Open the site.
Under General, open the Information section.
Click the edit (pencil) button.
Scroll to Site Contacts. If the site has none, you'll see No site contacts yet.
Adding a Contact
Click + Add Contact. The Add Site Contact page opens.
Fill in any of these four fields:
Field | Notes |
Title | Their role — "Site Superintendent", "Property Manager". |
Name | Their name. |
Must be a valid email address. | |
Phone | Must be a complete 10-digit number. Formatting is applied as you type. |
Then click Save Contact.
Every field is optional on its own, but you need at least one. Save Contact stays disabled until you've filled in something.
💡 Only the fields you fill in are shown on the card, so a contact saved with a title alone displays just that title.
Saving the Site
Saving the contact returns you to the site form. Click Save on the site to commit the change.
⚠️ The contact isn't stored until you save the site. Adding it and leaving the edit page discards it silently — nothing warns you on the way out, and the contact is simply gone when you come back.
Editing or Removing a Contact
On Site Contacts, each contact appears as a card with two icons:
Edit contact (pencil) — opens Edit Site Contact. You can also click the card itself.
Remove contact (bin) — deletes it from the list.
Then save the site.
Contacts are stored in order, and removing one closes the gap. Delete the first of three and the remaining two move up.
⚠️ Which contact is first matters. ComplianceGo treats contact one as the site's primary contact: it's the name carried into permit expiry reminders, the one shown against the site on the inspections calendar, and the one the Enterprise API exposes as primary. Removing a contact promotes the next one into that slot, so check the order afterwards.
Where Contacts Appear
Where | What shows |
The site's Information section | A Contacts list. Email addresses and phone numbers are tappable — useful on a phone in the field. Shows None if there are no contacts. |
The Site Notice | All three contacts are printed on it. |
The site creation wizard | You can add contacts when first setting up a site. |
If a contact has both a Title and a Name, the card leads with the name and shows the title underneath. Only filled-in fields are displayed.
What Happens Next
Once the site is saved, the contact is available anywhere the site is shown — the Information section, the Site Notice, and the site creation wizard.
The first contact does a little more: its name is carried into permit expiry reminders and shown against the site on the inspections calendar. Correcting that contact updates both, since they read the site's current list each time.
📝 Contacts don't appear on inspection reports. If your reports name a site contact, whoever ran the inspection typed it in.
FAQ
Q: Save Contact is grayed out.
A: All four fields are empty. Every field is optional on its own, but you need at least one filled in.
Q: I'm told to enter a valid email address.
A: The address is malformed — check for a missing @ or a typo in the domain.
Q: I'm told to enter a complete 10-digit phone number.
A: The number is too short. Enter all 10 digits.
Q: There's no button to add a contact.
A: The site already holds the maximum of three. Remove one and the button comes back.
Q: The contact I added has vanished.
A: The site wasn't saved after adding it — a contact isn't committed until you click Save on the site itself. Add it again and save the site.
Q: A contact gets no notifications.
A: Contacts and notification recipients are separate lists. Add them under Notification Recipients on the site.
Q: A contact can't log in.
A: Contacts are plain text, not user accounts. To grant access, add them under People & Roles.
Q: We only have one contact after an upgrade.
A: The old single-contact field was migrated into the new list automatically. That's expected — add the other two.
Q: A contact's details are wrong on an inspection report.
A: Inspection reports don't draw on the site's contact list — whatever is on the report was typed in when the inspection was carried out. Correct it on the inspection, not here.
