How to import employees via spreadsheet?

When it comes to registering employees in the system, efficiency and convenience are essential for streamlining the process.

At Compliasset, we offer two ways to perform this registration: manually, where you must add each record individually, and automatically, which allows you to upload a spreadsheet to create employees in bulk in the system.

In addition, this second option isn’t limited to just the initial registration. It also makes it easier to update employee information. Keep reading to learn more!


Download the import template

To import and/or update your list of employees, you must download the available import template. To do this, click on the "Employees" section in the left-hand menu and select the "All Employees" option:

Next, click the "+" button located in the upper-right corner of the screen and select the “Import” option:

The following screen with instructions will appear:

Click "Download the import template file" to download the spreadsheet template you need to use, and carefully read the filling instructions.


Additional instructions for filling out the spreadsheet​

In the spreadsheet, the template to follow will appear as follows:

Important: The first row must be kept as is, and information should be entered starting from the second row, following the format of the first row, in the same order, and separating each field with a comma.

Once the spreadsheet is filled out and finalized, return to the import screen, select the completed spreadsheet, and click "Import". Before confirming the import, it is important to carefully review all the information displayed on the screen, as this data will be directly reflected in the system.

Note that next to each employee there is a colored square indicating the registration status: reactivation, new registration, or update. After verifying and ensuring that all information is correct, click the "Create/Update Employees" button to apply the changes to the system.


Important information:

  1. To send the welcome email, simply enter the number ‘1’ in this field; otherwise, enter ‘0’ to skip sending it. The welcome email can only be sent via the spreadsheet once; this field cannot be updated.

  2. If you are organizing the records in separate columns without commas, make sure that when you export, the result is a .csv file with the elements separated by commas.

  3. The first row cannot be deleted; information must be entered starting from the second row.

  4. To skip a field, simply enter two commas (,,) and move on to the next piece of information. Or, if you are organizing the records in separate columns, leave the cell blank. This way, the information will be left blank.

  5. If you also want to edit employee information via upload, simply maintain the same spreadsheet format with the new information, always making sure that the email address matches the one already in the system.

  6. The maximum number of employees that can be entered in the spreadsheet is up to 100 records at a time.
