How Inventory Flows

Manage multiple inventory sources for accurate fulfillment, event allocation, and channel-specific stock control.

Access Inventory Location Settings

  1. Navigate to Settings > Inventory Locations.

  2. By default, the first inventory location will be your store address (entered in your store information).

  3. If no other locations are added, all inventory for all channels will pull from this default address.


Add and Configure Locations

  1. From the Inventory Locations page, click Add Location.

  2. Enter details for each physical or virtual inventory source:

    • Tasting Rooms

    • Warehouse

    • Winery

    • Special Event Locations (e.g., weddings, pop-up tastings)

  3. Locations are critical for:

    • Accurate inventory tracking across multiple points of sale.

    • Setting up fulfillment logic for different order types.

  4. Enable inventory threshold alerts to receive notifications when stock gets low. Alerts are sent to the primary admin email.

This ensures proactive restocking or transfer before running out.


Assign Locations to Sales Channels

Corksy allows you to set fulfillment rules for every sales channel:

  • eCommerce: Assign separate pickup and shipping sources.

    • Example: Pickup → Tasting Room A | Shipping → Warehouse.

  • Wine Club: Fulfill shipments from a warehouse or a dedicated Wine Club inventory location.

  • POS: Fulfillment is auto-determined by the device’s login location.

Proper assignment prevents incorrect deductions and stock mismanagement.


Allocate Inventory for Events or Wine Clubs

  1. Navigate to Products > Inventory.

  2. Select the product and click Edit Inventory.

  3. Allocate quantities to specific locations:

    • Example: Move 100 bottles of rosé to a wedding event location.

  4. If this allocation takes from another location (e.g., tasting room), subtract the same amount there to keep totals accurate.

Why use this feature?

  • Prevents accidental overselling on eCommerce or POS during special events.

  • Lets you reserve stock for Wine Club shipments ahead of time.


Inventory Deduction Rules

  • POS & eCommerce: Inventory is deducted when an order is paid (e.g., Charge Card or Pay in Cash).

  • Wine Club: Inventory is not deducted until the credit card is successfully processed.

    • To ensure Wine Club stock, create a dedicated location and pre-allocate inventory before processing.

  • Example Scenario:

    • You have 1,000 bottles of rosé.

    • Allocate 500 to Wine Club and 500 to eCommerce.

    • If eCommerce runs out, it will display Sold Out, ensuring Wine Club bottles remain available.
