Network Membership: Local Management

Understand how to manage and understand a Network Membership at the location-level.

Managing memberships at the location level allows administrators to tailor rules, costs, and access for both local and visiting members while maintaining the seamless integration of the Network Membership system. This guide walks you through viewing membership details, configuring location-specific settings, and managing member profiles, ensuring consistency across the network.

Viewing Membership Details

Membership Table

  1. Navigate to the Memberships section in your location's Admin navigation.

  2. Memberships are categorized as:

    • Primary Membership: Purchased and owned by members at this location.

    • Network Membership Counterpart: Automatically assigned to members from other locations within the network.

Configuring Local Membership Settings

Locations can set distinct rules and costs for both Primary Memberships and Network Counterparts to meet their unique needs.

Set Location Costs

  • Configure cost structures for reservations, lessons, events, and other resources.

  • Cost Types Include:

    • Court Costs: Standard rates for court bookings.

    • Lesson Costs: Standard rates for booking lessons.

    • Custom Costs: Fees customized such as guest fees and private lessons.

    • Resource Costs: Fees specific to resources tied to membership types.

    • Event Costs: Event-specific fees for both Primary Memberships and Network Counterparts.

Note: Enterprise organizations can optionally transfer costs for Court Types, Reservation Types, and Resources from the Location Template to individual locations when setting up a Network Membership—as long as the names match exactly. See detailed information under the Costs section here.

Set Reservation Rules and Restrictions

  • Define rules for reservations, events, and other activities.

  • Consider if rules may apply differently for the primary membership or the network counterpart

    • Primary Memberships: Full access based on local policies.

    • Network Counterparts: Reduced booking privileges or higher fees for visiting members (e.g., fewer days of advance booking or increased event registration fees).

Managing Memberships

Viewing Membership Information

  1. Navigate to a member's profile and locate the Membership tab.

  2. View and manage membership details depending on the membership type:

    Primary Membership:

    • Displays as a standard membership with detailed plan information.

    • Allows the admin to update membership settings, such as pricing or reservation rules.

  • Network Membership Counterpart:

    • Assigned to members from other locations within the network.

    • Marked with "(Network)" in the membership title.

    • Note: Network Counterparts cannot be managed by a location that does not own the primary membership. Changes must be made at the location where the membership is owned.

Transferring Memberships:

Note: CourtReserve supports seamless transfers of a member’s network membership between participating locations—provided both are authorized to offer the same membership type. Click here for details on the transfer process.


Local Management of a Network Membership

When players visit new locations within a CourtReserve Network Membership, some of their core information automatically transfers to simplify sign-up and ensure consistency across locations. However, certain details and behaviors differ depending on whether the player has a network membership or is joining a new club without one.

Information Shared with a New Location (Network Membership)

When a player with an active Network Membership accesses a new location in the network, the following data is automatically transferred:

  • First Name & Last Name

  • Email Address

  • Phone Number

  • Address

  • Gender

  • Date of Birth

  • Custom Fields (only if the labels and fields match exactly—1:1—between locations)

This helps reduce duplicate data entry and keeps essential profile information aligned across the network.

Information Shared When Joining a New Club (No Network Membership)

If the player joins a new club that isn’t part of their network membership, they’ll go through the sign-up flow.


When they log in with their existing email address, the sign-up form will automatically prefill these fields with information from their original club:

  • First & Last Namelocked and read-only; the player cannot edit these during sign-up

  • Email Addresslocked and read-only

  • Phone Number

  • Address

  • Gender

  • Date of Birth

If allowed by the club, the player can also bring in existing family members during this sign-up process.

How Personal Info Updates Across the CourtReserve Database

If a player updates their first or last name in one location, the behavior depends on who makes the change:

  • If the Organization updates the player’s name: The change stays local to that organization only and does not sync to other clubs.

  • If the Player updates their name in the Member Portal/App: The change updates across all clubs except any clubs that have previously made their own local (organization-side) edits to the player’s name.

  • Example:

    • Jonathan is a member at three clubs: A, B, and C.

    • Club A’s admin changes his name to “Jon.” This update stays only in Club A.

    • Later, Jonathan logs in to the Member Portal at Club B and changes his own name to “Johnny.”

    • The update applies to Clubs B and C, but it does not override the “Jon” name in Club A because that was an organization-side edit.
