INTRODUCTION
Feature Summary: Network Memberships in CourtReserve allow organizations with multiple locations to offer unified, cross-location memberships. Members can purchase a single membership at one location and access other participating clubs within the network. Review the Network Membership Overview article if you haven't already.
Use Cases: Ideal for organizations that want to:
Provide members with seamless cross-location access.
Centralize membership management while maintaining location-specific flexibility.
Offer premium tiers with network-wide benefits.

PREREQUISITES
Before setting up Network Memberships, ensure the following:
Access:
Available to Enterprise Customers on the Enterprise Plan.
Ensure you have Enterprise Manager permissions to access the Enterprise Dashboard and Location Template.
Location Templates:
All locations in the network must have their templates completed and properly configured.
Membership Structure:
Have a clear understanding of your membership structure (e.g., pricing, rules, and restrictions).
Decide on network-specific rules (e.g., which locations can sell or access the membership).

STEP-BY-STEP SETUP

Step 1: Accessing the Enterprise Dashboard and Location Template
Step 2: Creating a Network Membership
Setup the basic structure of the membership with the available tabs in the Network Membership.
In the Location Template, select the Memberships section.
Click Create New Membership.
Name the new membership (cannot carry the same name as another membership that exists in your location template or existing locations).
Assign a Short Code (optional).
Copy Membership Rules from another membership (optional).
Click Save.
General Settings:
Provide a Description & Short Description for display purposes on the member portal for selling this membership publicly.
Define additional details about the Membership's General Settings.
Note: General Settings CAN be mass updated across locations after setup is completed.
Save the General Tab when items are in place as needed.
Membership Price:
Set the pricing rules and parameters if fees are required for this membership.
Save the Membership Price tab when items are in place as needed.
Reservation Rules:
Set the Reservation Rules and Restrictions for this membership.
These rules should be as complete as possible prior to making this membership a Network Membership as they cannot be mass updated once the Network Membership setting is enabled.
Save the Reservation Rules tab when items are configured as needed.
Costs:
When creating a Network Membership, any costs entered for Court Types, Reservation Types, and Resources in the Location Template will automatically be created in each location where the membership is available—provided the names match exactly. This feature simplifies setup, ensures consistency, and reduces manual work.
For example: If the location template for a network membership has a Court Type called Pickleball and an individual location also has a Court Type called Pickleball, the system transfers the costs for that matching Court Type. The same applies to matching Reservation Types and Resources.
If names differ—even slightly, such as Ball Machine vs. Ball Machine 1—costs will not transfer, helping prevent unintentional overwrites. Capitalization does not affect matching (e.g., Ball Machine 2 matches ball machine 2), but spacing must match exactly.
Lesson Costs, Event Costs, and Discounts: These still require manual configuration at each location due to dependencies such as assigned instructors, which vary by club.
Portal Settings:
Customize basic display settings for members who will have this membership when they are on the member portal.
Is Public: It is recommended that "Is Public" be disabled as part of the Location Template so this membership will not be public right away in all of your existing locations; giving time to configure all costs at the location level and migrate your existing members (if needed).
Portal Setting rules should be as complete as possible prior to making this membership a Network Membership as they cannot be mass updated once the Network Membership setting is enabled.
Save the Portal Settings tab when items are in place as needed.
Step 3: Configuring Network Membership Rules
Navigate to the Network tab in the membership setup.
If this tab is not visible, please contact Customer Success for assistance.Enable the membership to be a Network Membership.
Reservation Rules, Restrictions, and Portal Settings should be as complete as possible prior to making this membership a Network Membership as they cannot be mass updated across multiple locations once the Network Membership setting is enabled.
Define the following:
Membership Can be Sold in these Locations:
Specify which locations can sell the membership.
All: Selecting "All" will automatically include future locations without manual configuration of this tab in the future.
Specific Locations: Selecting "Specific Locations" allows selection of which Locations are able to sell this membership to members.
Allow locations selling this membership to update the Membership Pricing for their location:
Allow a location to update the membership pricing at the local level.
If unchecked, membership pricing can only be updated in mass from the Location Template's "Membership Price" tab.
Allow locations selling this membership to update the General settings for their location:
Allow a location to update the General tab for this membership at the local level.
This could create differences between membership start dates, end dates, age restrictions etc.
If unchecked, membership pricing can only be updated in mass from the Location Template's "General" tab.
Locations Allowing Access to use this Membership:
Determine which locations members can access when they have this membership.
All: Selecting "All" will automatically include future locations without manual configuration of this tab in the future.
Specific Locations: Selecting "Specific Locations" allows selection of which Locations a member has access to with this membership. Members with a network membership gain seamless access to locations they join that are "in network".
Save the configuration. Once saved, the Network Membership will configure across the database into the locations of the enterprise that can either sell or access the membership.
Timing Note: Network Membership updates typically take 60–90 seconds to propagate across the enterprise. This applies to both the initial creation of the membership and any subsequent changes, such as updates to a member's status when managing the membership at a local level.
Step 4: Local Configuration
After creating a Network Membership and designating its "Sold In" and "Accessed In" locations, you can configure the local rules for this membership at each location.

Types of Memberships at the Location Level:
Primary Membership
This is the membership available for sale and assigned to members at a specific location.
The primary membership is "owned" and managed by the location where it is sold.
Example: Diamond Elite
Network Counterpart:
Automatically assigned to members visiting a location where they did not purchase their original membership.
This membership is not for sale and is only added when a member already holds a primary membership that grants access to the location.
Example: Diamond Elite (Network)
What Should Be Configured Locally?
Locations can set distinct rules and costs for Primary Memberships and Network Counterparts to meet their unique needs:Set Location Costs:
Configure cost structures for reservations, lessons, and events.
Cost types include:
Court Costs: Standard rates for courts.
Custom Costs: Unique fees tailored to the location's courts, guest fees, and lessons.
Resource Costs: Costs specific to resources by membership type.
Event Costs: Costs for each event should be configured for the Primary Membership and the Network Counterpart.
Set Reservation Rules and Restrictions:
Define specific rules for reservations, events, and other activities.
Apply rules differently for Primary Memberships and Network Counterparts (e.g., reduced booking privileges for network members).
Best Practices for Local Configuration
Use the Copy Costs feature to quickly replicate pricing from another membership when updating Custom Costs.
Use the Event Mass Update tool to update multiple memberships at one time across multiple events.
Clearly define rules that incentivize local membership while providing value to network members.

Once costs and rules are configured:
Mark the membership as Public in the location’s Portal Settings.
The membership will then be available for purchase on the member portal.
MIGRATION FOR EXISTING CUSTOMERS
If your organization already operates multiple locations or is opening a second location:
Contact our Customer Success team to migrate existing members into the appropriate Network Membership.
Migration ensures continuity for members and extends their access across locations.
