Manage Events and Leagues with Dedicated Coordinator Roles

INTRODUCTION

  • Feature Summary: Create a Sub-Admin with Coordinator role permissions.

  • Use Cases: Coordinators have special event or league management responsibilities. They can view and edit event/league settings. If required, set narrow permissions at the event, league, or league session level. System users can enable this role to delegate limited authority (which helps streamline club options) without granting wide platform permissions to a large number of people.

The Coordinator role is assigned only for system users with Sub-Admin status.

PREREQUISITES

The Coordinator role is a type of Sub-Admin. For step-by-step instructions on setting up a Sub-Admin, click here.


SETUP REQUIREMENTS

  1. Log in to the admin dashboard.

  2. Go to the side menu and click SETTINGS. A new page displays.

  3. Go to the ORGANIZATION SETTINGS heading and click System Users. A new page displays.

  4. Click the Sub-Admins tab.

  5. Create a new Sub-Admin or edit an existing one.

Click the Edit button to update an existing sub-admin profile.

Assigning a Coordinator role to a Sub-Admin

To assign the Coordinator role to a Sub-Admin, check the Is Coordinator box.

Scroll to the bottom of the permissions table to view all Sub-Admin permissions. Locate the Coordinator section, where you can enable or disable coordinator-specific permissions. Adjust the settings as needed by checking or unchecking the appropriate boxes.

Note: You will only see leagues referenced if the Leagues feature is enabled.

  • Can Edit Assigned Events/Leagues - If enabled, the coordinator can edit assigned events and leagues. If disabled, the user cannot edit any event or league (even an assigned event/league).

  • Can Delete Assigned Events/Leagues - If enabled, the user can delete the assigned events and leagues. If disabled, the user cannot delete any event or league (even an assigned event).

  • Can Manage Registrations on Assigned Events/Leagues - If enabled, the user can only register and manage registrations for assigned events and leagues. If disabled, the user cannot register or manage registrations for any event or league (even an assigned event).

  • Can Manage Assigned League Rounds/Game Days - If enabled, the user can manage the Game Days within the League Sessions they are assigned to.

Coordinators can edit or manage events and leagues that they create (if the event creation permission is granted on the Sub-Admin page). The permissions on this page do not change that ability. The Coordinator permissions on this page apply only to assigned events and leagues.

After the system user enables a Coordinator role, CourtReserve adds them to the table inside the Coordinators tab. Because a Coordinator is also a Sub-Admin, they will appear on both the Sub Admin and Coordinator tabs.
