Streamline Court Access During Peak Hours

INTRODUCTION

  • Use Cases: Managing court access can be a challenge in busy clubs with a healthy mix of membership types, all hoping to reserve time during peak hours. System users can streamline court use by stopping one or more membership types from booking a facility or piece of equipment during a specific block of time and on specific days. These settings have a direct impact on player/member access to the club facilities, so care should be taken to configure the settings properly.

SETUP PREREQUISITES

System users need a clear understanding of the club's booking rules and regulations.

SETUP REQUIREMENTS

The first step is to open the Booking Windows page.

  1. Click SETTINGS on the side menu.

  2. Scroll down the page to BOOKING SETTINGS and click Booking Windows.

  3. Create closed and open windows by membership type. (see below)

There is no Save button on this page. CourtReserve auto-saves any changes.

Configuring the settings

System users can create an open window (members/players can book court time during this period) or a closed window (members/players cannot book court time during this period).

  1. Choose a membership type.

  2. Click the Add New button. Optionally, click the button in the Item column to create a single window for every membership type.

  3. Fill in the fields.

  4. Click Save changes.

Options

  • Booking window type - Choose Open or Closed.

  • Court Type - Choose Hard or Indoor. To create a booking window for all court options, create multiple windows.

  • Courts - Select one or all court options.

  • Day of the week - Select an option. Weekends and Weekdays are available options.

  • Start / End Time - Enter the clock time to start and end the window.

  • Notes - Add a message to display on the member portal. This text replaces the default text, "Closed Window."

If a system user creates an Open booking window for a court type, CourtReserve assumes the other times for that court type are closed. For example, a system user creates an Open booking window for hard courts between 6 pm and 9 pm for the Guest membership type. A user (Guest membership type) opens the member portal and tries to book time on a hard court at noon. CourtReserve displays an error message.

It is possible to create more than one Open booking window for a facility.

Managing windows

To update a booking window, click the Edit icon. Update the information and click Save changes. To remove a window, click the trash icon and click Yes in the confirmation popup.
