How to create and manage a Creator Pipeline

Creator Pipelines let you build a custom set of statuses for each type of creator campaign. For example, you can use one pipeline for UGC production and another for integrations or ambassador programs.

Each campaign uses one pipeline. A creator's status is stored separately inside each campaign, so the same creator can be in Negotiation in one campaign and Outreach in another.

Pipeline and status descriptions also help the AI Agent understand your workflow and decide when a creator should move to another stage.

Create a pipeline

  1. Go to Settings > Creator Pipelines.

  2. Click New Pipeline.



  3. Choose one of the available templates - UGC, Integrations, or Ambassadors - or start from scratch.

  4. Add a clear pipeline name and, optionally, a description of the workflow.

  5. Review the statuses, their order, and their automation settings.

  6. Save the pipeline.

Templates are starting points. Once copied to your workspace, they become regular pipelines that you can fully customize.

Understand status categories

Every status belongs to one of five fixed categories. A pipeline must contain at least one status from each category.

Automatic behavior

Outreach

An outreach message has been sent, but the creator has not replied yet.

After an outreach email is sent, the creator moves to the first Outreach status in the pipeline.

First Contact

The creator has replied for the first time.

After the first incoming reply, the creator moves to the first First Contact status in the pipeline.

Negotiation

You are actively discussing terms, pricing, deliverables, deadlines, or production steps.

Add as many custom stages as your workflow needs.

Rejected

The collaboration will not move forward.

No automatic transition.

Done

The collaboration has been completed successfully.

No automatic transition.

You can create multiple statuses inside each category, but you cannot create new categories or change a status from one category to another.

Write clear status descriptions

A status description is required. The AI Agent reads it to understand when a creator belongs in that status.

Describe the condition for entering the stage, not just the name of the stage.

Good description

The creator has replied, and we are discussing rates, deadlines, deliverables, usage rights, or the volume of work.

Too vague

Negotiation stage.

You can also add a pipeline description to explain what the entire workflow is designed to manage. This is optional, but it gives the AI Agent more context.

Set the status order

Drag and drop statuses to arrange them in the correct sequence.

The order is not only visual. Creally automatically selects the first status in the relevant category:

  • After outreach is sent, the creator moves to the first Outreach status.

  • After the creator replies for the first time, they move to the first First Contact status.

If you have several statuses in either category, changing their order changes which status Creally assigns automatically.

Configure AI Agent and follow-ups for each status

Each status has two automation settings.

Agent

Turn Agent on when the AI Agent should actively handle conversations at this stage.

When Agent is on, the AI Agent can:

  • read the conversation

  • apply its instructions

  • choose an action

  • send a reply when appropriate

  • move the creator to another status

When Agent is off, Creally still analyzes the conversation and updates the creator's memory and conversation summary. The AI Agent does not apply its instructions, choose an action, or send a reply at that status.

Follow-ups

Turn Follow-ups on when creators at this status should be eligible to receive automated follow-up emails from the campaign's follow-up sequence.

Follow-ups can also be disabled for one creator in one campaign from the creator's campaign card. The individual setting does not change the pipeline-wide status setting.

Edit an existing pipeline

Go to Settings > Creator Pipelines, open the pipeline, and select Edit Statuses.

Changes apply to every campaign using that pipeline, including campaigns that are already running.

Before changing a live pipeline, check how the updated name, description, status order, or automation setting will affect those campaigns.

Renaming a status does not break Creally's automation. However, if the old status name appears in custom AI Agent instructions, update those instructions manually.

Delete a status

When deleting a status, you must choose another status in the same pipeline as its replacement. Creators currently at the deleted status will move to the replacement status.

You cannot delete the last remaining status in a category.

Archive a pipeline

Pipelines cannot be permanently deleted, but they can be archived.

An archived pipeline:

  • is removed from the pipeline list used when creating new campaigns;

  • continues to work in existing campaigns;

  • cannot be used to create a new AI Agent;

  • can be restored from the archive at any time.

What is the Default pipeline?

If your workspace existed before Creator Pipelines were introduced, Creally automatically created a Default pipeline using your existing statuses and connected your existing campaigns and AI Agents to it.

The Default pipeline is a normal, editable pipeline. You can rename, customize, or archive it when it is no longer needed for new campaigns.
