How to bulk import assets to Gearbelt

If you have an existing asset register or list of assets, you can bulk import them using our Importing Template.

Steps

  1. Go to the Assets section.

  2. Click the Upload Assets button at the top-right of the Assets table.

  3. Select Download Excel template to get the template file.

  4. Open the downloaded Excel file.

  5. Fill out the template with your asset details and save your changes.

  6. Return to the Gearbelt Upload Assets section

  7. Click on the Upload document box.

  8. Select the updated template file from your computer.

  9. Click Import at the bottom of the page to complete the process.

Field Requirements

To ensure a successful import, please adhere to the following field requirements:

  • Internal ID: Required text or numeric field used as a unique identifier in the system for your asset.

  • Asset Type: Determines the type of asset registered in the system; must follow Gearbelt’s list of asset types (required field).

  • Asset Category: Fixed field determining the category of the asset; must match Gearbelt’s categories.

  • Asset Collection: Fixed field that must match Gearbelt collections.

  • Asset Kind: Open the text field to specify the type of asset.

  • Manufacturer: Open the text field for the asset manufacturer’s name.

  • Model: Field to record the asset model.

  • Class: Field to specify the asset class or tonnage.

  • Year: Field to record the asset’s manufacturing year.

  • Registration: Field to record the asset’s current registration number.

  • Serial Number: Open the field to record the asset’s serial number.

  • Engine Number: Open the field to record the asset’s engine number.

  • Chassis/VIN: Field to record the chassis or VIN.

  • Hours: Numeric field to record the asset’s current hours; only whole numbers are accepted (no commas or dots).

  • Mileage: Numeric field to record the asset’s current mileage (Km/Mi); only whole numbers are accepted (no commas or dots).

  • Comments: Open the text field for any relevant notes or comments.

  • Last Service Date: Field to provide the asset’s last service date; used to track the next service date.

    • Format required: DD/MM/YYYY (e.g., 23/03/2024).

  • Last Service Type: Field for the asset’s last service type; used to track the next service date and must match the asset’s service plan intervals.

  • Last Service Reading (Hrs): Field to record the asset’s last service reading in hours; only whole numbers are accepted (no commas, letters, or dots).

  • Last Service Reading (Km/Mi): Field to record the asset’s last service reading in mileage (Kilometres or Miles); only whole numbers are accepted (no commas, letters, or dots).
