Patient experience and managing VC submissions

Once you've set up the Virtual Consult and posted your unique link to the VC on your website or ads, prospective patients will find you and begin to submit them!

What the Patient Sees

When someone clicks your link it will take them to this page where they will enter their phone number and get a link to the Consult on their phone:

The link will open the Consult, beginning with your welcome video if you made one (not required).

They will then be guided through taking a series of photos of their teeth, for Doc to review:

Then they will have the opportunity to choose up to 3 concerns they are seeking treatment for, and they can write a short note.

They will also be asked to fill out their contact info, DOB, and responsible party's info (if applicable) before submitting:

Once they submit their consult, they will see your Thank You video (if you've created one - it's not required) and at that point I will notify you that it's been submitted!


Managing Virtual Consult Submissions

View and manage VC submissions by clicking Automations >> Virtual Consult - there are 2 columns on that page, New Virtual Consults and In Progress.

New Virtual Consults:

When a lead completes a consult, they will be listed under New Virtual Consults - click a name to expand the details:

You will see the date it was submitted, thumbnails of their photos, Tags (up to 3), an X to remove them (this will not delete them), and the chat icon (opens their Messaging Modal so you can reply).

Adding Photos to patient charts in your PMs:

Click a thumbnail to open a photo, then right click and select "Save As" to save it to your desktop - upload the photos from the file on your desktop to your PMs there.

In Progress:

Once you reply to a potential patient, they will automatically be added to In Progress.

When you click their name in that column you'll see a small icon with my avatar on it - click it to open follow up options:

At this point, their name will also appear on Automations in the Team Decision New Lead bucket where you can remove them or put them in follow up from there.

I suggest putting them in follow up to nurture them until they schedule an actual consultation with your office!


Testing the Virtual Consult

On your Settings >> Virtual Consult page, you'll see your personalized link at the top of the page:

Copy and paste it to open your consult, enter your phone number, and test the whole process yourself!
