The following is a step-by-step guide to creating and building your Diligentsia Data Repository. Click on the indent to see the full steps.

Method 1 - Follow the question prompts within the Repository and upload files section by section from:
Your computer, or
Your existing cloud storage
We recommend this method if:
Your company does not already have a data room, or
You are unsure what documents should be included in a structured data repository
This approach helps you build your repository methodically while increasing your Completeness Score as you go.
Method 2 — Use the Filing Assistant (Bulk Import)
If you already have:
A set of files
Folders
Or a complete data room elsewhere
The quickest solution is to:
Go to the Filing Assistant
Import your files and/or folders
Allow the system to allocate them across the Diligentsia folder structure
You will have the opportunity to:
Review the proposed allocation
Move or reallocate files if required

Method 3 — Connect to a Cloud Data Room (Dropbox or SharePoint)
If your files are already stored in:
Dropbox, or
SharePoint
(Drive does not currently support reverse syncing.)
You can:
Connect your Diligentsia Data Repository to a mirrored Data Room in your cloud provider
Allow Diligentsia to duplicate its folder structure in your cloud environment
Copy and paste files from your existing folders into the appropriate folders within your Diligentsia Data Room
Return to your Data Repository and click:
“Sync All”, or
“Sync” (for an individual section)
This will synchronise the files back to the Diligentsia platform.

Step 3. Your repository has now been created. You can now access a range of additional features:

Once files have been added using one of the methods above, your repository is active and usable.
You can now:
Review your Repository Index
Monitor your Completeness Score
Work towards improving your Certification level
Generate a Repository Report
Use the Deduper function to identify duplicate files
Search your repository (feature coming soon)
Troubleshooting
Q: Why can’t I access the Data Repository from my dashboard?
Ensure:
You are logged in
You have the appropriate user permissions
If it is still not visible, refresh your browser or contact support.
Q: Can I use Google Drive to connect my Data Repository?
Drive does not support reverse syncing.
You can manually upload files from Drive, but direct reverse-sync functionality is currently available only with Dropbox and SharePoint.
Q: What should I do if files are misallocated by the Filing Assistant?
Use the File Manager to manually move or reassign files to the correct sections.
If issues persist, contact support.
Q: Why isn’t the “Sync All” function working?
Check that:
Your cloud storage is properly connected
API permissions were granted
Your account is still authorised
If necessary, disconnect and reconnect your cloud provider.
Q: My Completeness Score isn’t updating. What should I do?
Try:
Refreshing the Repository Index
Confirming files were correctly uploaded and allocated
If the issue persists, contact support.
Q: Can I upload folders instead of individual files?
Yes.
You can upload entire folders:
Using the Filing Assistant, or
Via supported cloud syncing (Dropbox or SharePoint)
Q: Why are some files missing after syncing?
Ensure the files were placed in the correct folder within the mirrored Data Room.
Then re-run Sync All or section sync.
Q: How do I increase my Completeness Score?
Add required files to the appropriate sections as indicated in the Repository Index.
Correct allocation is important.
Q: Can multiple users work in the Data Repository at the same time?
Yes. Ensure appropriate permissions are assigned to avoid conflicts.
All changes are recorded in the Audit Log.
Q: Can I export my Data Repository?
Yes. Files can be exported individually or in bulk from the File Manager.
