Q: What is Diligentsia's Folder Structure?

Diligentsia folder structure is at the core of the platform. This is a standard set of 20 sections covering the key aspects of most businesses, as shown below. These are the sections you get access to if you have subscribed to our Lite plan. These sections form the indices for both our Data Repository and Business Audit Modules.

However, for Pro users we have added three main additional features:

  1. Sub-folders for each of the main 30 folders. There are around 160 subfolders in total.

2. Additional folders and subfolders to hold additional content if you add Expansion Packs to your platform.

The ability to create up to 5 user-defined folders of your own choice.

Q Can I create my own sections/folders?

Yes - if you have our Pro plan you can create up to five user-defined sections/folders.

Q: Are my user-defined folders fully integrated into the rest of the Diligentsia platform?

Yes. They are added to Diligentsia Data Room folders, to your data repository index and to your completeness and risk scoring, and reporting.

Q Where can I see the full Diligentsia folder structure for Pro?

You can best see your Diligentsia folder structure in your Repository Index in your data repository. You can expand and collapse sections there. Your own repository index will show which sections you have access to and/or which Expansion Packs and user-defined sections (if any you have added).

Q: Why are some of my sections greyed out?

Your company owner can grant or restrict access of a user to specific sections within modules e.g. HR records. Where your access to a section has been restricted by your owner, you can see the existence of that section, but also will not have access.

Q: What do the folders contain?

They store business data and help organize information in your Data Repository.

Q: How are my custom folders integrated?

Custom folders are fully integrated into your Data Room and scoring system.

Q: How can I view the folder structure?

You can view it in the Repository Index, where sections can be expanded or collapsed.

Q: I'm a Lite user but I want to get more folders. How can i do that?

Unfortunately, you can't do that. To get more folders, upgrade to our Pro Plan.

Q: What is the purpose of these folders?

They organize and store business-critical documents in one place.

Q: Are folders visible to all team members?

Visibility depends on access permissions set by the company owner.

Q: What happens if I delete a folder?

Deleted folders and their contents are removed from the Data Repository.

Q: Can I export folder data?

Yes, data within folders can be exported based on your access level.

Q: Why can’t I see all the folders in my folder structure?

A: Check your subscription plan. Lite users have access to 20 sections, while Pro users have access to additional folders and subfolders.

Q: Why are some folders greyed out?

A: Greyed-out folders indicate restricted access. Contact your company owner to request access.

Q: Can’t create a custom folder—what should I do?

A: Custom folders are only available to Pro users. Ensure you have a Pro plan and the necessary permissions.

Q: Why are my custom folders not appearing in the Data Room?

A: Custom folders may not have synced yet. Refresh the page or manually sync your Data Room to update the structure.

Q: Can I recover a deleted folder?

A: Deleted folders cannot be recovered. Ensure you confirm before deleting critical folders.

Q: Why are my custom folders not included in reports?

A: Ensure the folders are correctly integrated into the Repository Index and scoring system. Contact support if the issue persists.

Q: Can’t expand or collapse sections in the Repository Index—what’s wrong?

A: Check your browser settings or refresh the page. If the issue persists, try clearing your browser cache.

Q: Why is my folder structure different from my colleague’s?

A: Folder access and structure depend on permissions and Expansion Packs assigned to your account.

Q: Can I rename default folders?

A: No, default folders cannot be renamed. You can only name custom folders if you’re on a Pro plan.

Q: Why isn’t my custom folder scoring for completeness or risk?

A: Ensure the folder is properly set up and included in the scoring system. Recheck settings or contact support.

Q: How do I resolve duplicates in the folder structure?

A: Use the Deduper tool to identify and manage duplicate files within folders.

Q: Why can’t I access folders after upgrading to Pro?

A: Refresh your Repository Index to ensure new folders and subfolders are loaded. If the issue persists, contact support.

Q: How do I resolve missing files in folders after syncing?

A: Check the sync settings in your Data Room and ensure the files are correctly placed in the Data Repository.

Q: Can I reorganize folders within the structure?

A: Default folders cannot be reorganized, but custom folders can be adjusted within their allowed structure.

Q: Why aren’t updates to my folder structure syncing with my Data Room?

A: Ensure syncing is enabled and check for any errors in your cloud provider’s API permissions.

Q: Can I hide certain folders from specific users?

A: Yes, access permissions can be managed by the company owner to restrict visibility to specific folders.

Q: Why can’t I export all folder contents at once?

A: Ensure you have the necessary permissions and that the files are not restricted for export.

Q: Can I track changes made to folder structures?

A: Use the Audit Log to view changes to folder structures and access history.

Q: How do I report a bug with the folder structure?

A: Contact support through the chatbot on the website or email support@diligentsia.co.uk with a detailed description of the issue.
