Q What is sync to Data Room?

Synchronization (“Sync”) is the process of synchronizing two file stores so that they mirror or duplicate each other. In Diligentsia, this occurs using:

  • “Sync All” (entire repository), or

  • “Sync” (individual section)

These buttons synchronize your Diligentsia Data Repository with your connected Data Room (Drive, SharePoint, or Dropbox).

This includes reverse sync, where files added directly into your cloud Data Room are copied back into your Diligentsia Data Repository.

Q How do I sync my data repository to the data room?

Before syncing, you must complete a one-time connection to your chosen cloud provider. If you have not yet connected your Data Room, follow the Connect Data Room instructions first.

You can then choose between:

  • Sync All (sync entire repository), or

  • Section Sync (sync only one section)

Section sync is faster if you have only updated one section.

How to Sync a Single Section

Step 1 - Click the “Sync” button at the top of the relevant section.

Step 2 - The synchronization between your Diligentsia Data Repository and your cloud Data Room completes automatically within moments.

Step 3 - (Optional)

Click “View Data Room” to view the files in your cloud provider, or

Check the files in the File Manager

How to Sync All Files

Click “Sync All” at the top of your Repository.

All additions, deletions, and updates will be synchronized between the Repository and your Data Room.

Q What is "Reverse Synchronization(Sync)"?

Reverse Sync occurs when:

  • You add files directly into your cloud Data Room (e.g., copied from another folder), and

  • You then run Sync All or Section Sync

The system will:

  • Copy new files from the Data Room into your Data Repository

  • Reflect deletions made in the Data Room

  • Display synced files in a different colour in the File Manager (based on file origin)

You can view all synced changes in:

  • The File Manager, and

  • The Audit Log

You then sync as described below.

The files that you added to your Data Room then appear in your Data Repository - in a different color depending upon their source of origination. You can see the representation of each color in your file manager.

Q: What cloud providers are supported?

You can sync to:

  • Google Drive

  • Microsoft SharePoint

  • Dropbox

Only one Data Room can be connected at a time.

Q: Can I selectively sync just one section?

Yes. Click the “Sync” button at the top of any section to sync only that section.

Q: Is there an Audit Log for syncing?

Yes. Each section has an Audit Log that records:

  • What was synced

  • When it was synced

  • Who initiated the sync

Q: Can I reverse a sync?

No. Once a sync has been completed, it cannot be reversed.

Q: What do the different file colours indicate?

File colours indicate the origin of the file. You can view the colour legend in the File Manager.

Q: Can I sync files added directly to the Data Room?

Yes. This is handled automatically through reverse sync when you run Sync All or Section Sync.

Q: How do I view files after syncing?

You can:

  • Click “View Data Room”

  • Open the File Manager

  • Review the Audit Log

Q: How can I speed up a slow sync?

  • Sync individual sections instead of using Sync All

  • Ensure you have a stable internet connection

  • Avoid syncing very large volumes unnecessarily

Q: Can I automate syncing?

No. All sync processes must be manually triggered.

Q: What happens if a sync fails?

You can retry the sync. If the issue persists, contact support.

Troubleshooting: Sync to Data Room

Q: The sync process does not start after clicking “Sync All.”

  • Check your internet connection

  • Confirm your cloud provider is still connected

  • Retry the sync

If it still fails, contact support.

Q: Some files are missing after syncing.

  • Confirm files were properly allocated in the Repository

  • Ensure files are in supported formats

  • Re-sync the relevant section

Q: Can I pause an ongoing sync?

No. Allow the sync to complete before reviewing results.

Q: What if files are misallocated during sync?

Use the File Manager to manually move files to the correct section.

Q: Why is my sync taking longer than expected?

Possible causes:

  • Large file sizes

  • High volume of files

  • Slow internet connection

Try syncing individual sections instead of using Sync All.

Q: Can I sync to multiple cloud providers at once?

No. Only one Data Room can be linked at a time.

Q: Reverse sync is not working. What should I check?

  • Ensure files were placed in the correct Diligentsia Data Room folder in your cloud

  • Confirm the provider connection is active

  • Retry Sync

If issues persist, contact support.

Q: What if sync fails mid-process?

Retry the sync. If it fails again:

  • Check your internet connection

  • Verify cloud provider permissions

  • Contact support if necessary

Q: How do I verify that everything synced successfully?

Review:

  • The File Manager

  • The Audit Log

Q: My cloud provider is not appearing as a sync option.

  • Confirm you are connected to a supported provider

  • Reconnect the provider if necessary

Q: File colours are not updating after sync.

Refresh the File Manager view.

Q: Sync created duplicate files. What should I do?

Use the Deduper feature in the File Manager to identify and manage duplicates.
