Q What is my data room?

We create a duplicate Diligentsia file folder structure within your provider. We call this your Data Room. Subsequently you can sync the Diligentsia Data repository with your Data Room. We can currently connect to Drive, Sharepoint and Dropbox. We are looking to grow this list in due course. If you already have a Data Room from a provider such as Seedlegals, iDeals, Datasite or Ansarada we can use our Diligentsia Filing Assistant to take your existing data room folders and files and automatically allocate those files to our comprehensive Data Repository file structure (20 section in our Diligentsia Lite plan, and 160 subfolders in our Diligentsia Pro plan).

Q: I don't know what a data room is. I don't know what to put into Diligentsia's Data repository.

On the Diligentsia platform we differentiate between Diligentsia's own filing cabinet - our Data Repository, and what you may already have - a Data Room elsewhere, so as not to have confusion between the two. Diligentsia's Data Repository is really a super-organised data room.

Q I already have a data room. Why do I need yours?

Our Data Repository organizes your corporate information into a very structured "filing cabinet", probably more comprehensive than you already have. Identifying gaps will save you masses of time if and when you are looking for investment or seeking an exit. Setting up/mirroring your existing data room into our Data repository can be quickly and easily done with the help of our Diligentsia Filing Assistant who will do this automatically. Having a comprehensive data repository is a prerequisite for achieving Diligentsia certification.

Q: Can I transfer files from my data room on Drive/Sharepoint/Dropbox into the Diligentsia Data Room held on the same cloud provider?

Yes - you can copy and paste them from within Drive/Dropbox and Sharepoint. Within Diligentsia's data repository you can then sync them to to your repository on the Diligentsia platform. (However, with Drive, Google does not currently allow the transfer of externally created files out of the Drive environment).

Q: Which platforms are supported for syncing data rooms?

Currently, Drive, SharePoint, and Dropbox are supported.

Q: What is the Filing Assistant?

The Filing assistant is a bot that helps you save time by organizing your data room. After dragging and dropping the files and folders you want to import to your Diligentsia data repository, it automatically sorts them into the correct folders within your Diligentsia Data Repository. No need to manually categorize everything yourself.

Q: Is having a Diligentsia Data Repository necessary for certification?

Yes, a well-organized repository is required for certification.

Q: Can I sync files from an existing cloud provider to Diligentsia?

Yes, syncing files from supported cloud platforms is easy.

Q: How does syncing work with cloud providers?

You can sync data directly from Drive, SharePoint, or Dropbox to your Diligentsia repository.

Q: Does any cloud provider have any limitations with Diligentsia?

Google Drive doesn’t allow files created externally to be transferred out of its environment.

Q: What happens if I make updates in my data room?

You can easily re-sync updates to Diligentsia.

Q: How do I know if my data repository is complete?

The Diligentsia platform helps you identify gaps in your data structure.

Q: What are the security features of the data room?

Troubleshooting

Q: Why can’t I connect my data room to the Diligentsia platform?

Q: Why isn’t my data syncing between the data room and Diligentsia?

Q: Can’t find the “Connect Data Room” button—what should I do?

A: Ensure you’re accessing the Data Repository module. If the button is still missing, refresh the page or contact support.

Q: Why do some files not appear after syncing?

A: Verify the file formats are supported by both Diligentsia and your cloud provider. Resync if necessary.

Q: What should I do if syncing stops midway?

Q: Why can’t I transfer files from Google Drive to Diligentsia?

A: Google Drive doesn’t allow externally created files to be transferred out of its environment. You can copy files manually within Drive.

Q: How do I resolve duplicate files after syncing?

A: Use the Diligentsia AI Deduper to identify and move/copy/delete duplicates.

Q: Why is my existing data room structure not mirroring correctly?

A: Ensure you’ve used the Filing Assistant to map your files accurately. If issues persist, re-import the files.
