Instructions on how to offer your events/services virtually

Example: You offer consultation services virtually

Once your event is set up, you have three options to offer virtual appointments

Automatically generated Google Meets link

Example: Jane only does private bookings. She wants each meeting link to be different so that she doesn’t have to let people in to the same meeting room if the current one goes over. In this case, a link is not needed, Easy Appointment App will automatically generate a link using Google Meets. Note: this is supported on the Pro plan and above.

Setup

  1. Go to Settings > General > connect Google Calendar

  2. On the event manage page, under the links section, select “Automatically create and share Google Meet links”

  3. Ensure that the {{event_link}} tag appears in the email

  4. Now when your customer books the appointment, they will have a unique Google Meet link.

    1. This will appear in the Google calendar invite and in the email, as long as the Google Calendar Integration has been set up

Automatically generated Zoom link

Example: same as above, but with an automatic Zoom link

Setup

  1. Go to Settings > General > connect Zoom

  2. On the Event manage page, under the links section, select “Automatically create and share Zoom links”

  3. Ensure that the {{event_link}} tag appears in the email

  4. Now when your customer books the appointment, they will have a unique Zoom link.

Potential Issue: Your customer receives a Zoom link and is prompted for a password, but you don't want them to use a password. How do you fix this?

Zoom passwords are not managed by our app, that is a setting done in Zoom. Go to your Zoom Meeting's settings and select “No Password” under the “Meeting Password” section. Please see here for more: https://support.zoom.com/hc/en/article?id=zm_kb&sysparm_article=KB0063160

Virtual link of your choice (ie. Zoom). Same link per event.

Example: if Jane could take multiple bookings for the same time (ie. Jane has a party of 2 and a party of 3 at 12pm) they would all attend the same meeting room. In this case, offer one zoom link (zoom.us/j/123). Your next customer would use the exact same link.

Setup

  1. Have one link for each event. This link would be the same for each customer attending that event.

  2. Enter the link in the “Links” section. Click ‘Update Event Details’

  3. Ensure that the {{event_link}} tag appears in the email

  4. Now when your customer books the appointment, they will have the link to this event

Virtual link of your choice (ie. Zoom). Same link per instructor.

Example: Jane brings on Joe who can also conduct virtual consultations. Jane has one event, but now has two availabilities - Jane and Joe. In this case, offer one zoom link (zoom.us/j/123) for Jane, and one zoom link (zoom.us/j456) for Joe. Your next customer would use the exact same link based on the instructor

Setup

  1. Have one link for each event. This link would be the same for each customer attending that event.

  2. That one event is tied to both availabilities, Jane and Joe.

  3. Enter the link in the “Contact Link” section of the Availability. Click ‘Save’

  4. Ensure that the {{availability_contact_link}} tag appears in the email

  5. Now when your customer books the appointment, they will have the link to this event based on the instructor
