Guide - Follow-ups Dashboard

This guide introduces the features of the follow-up dashboard and explains how to manage and analyze them effectively.

Follow-ups Dashboard

The follow-ups module dashboard allows you to view, organize, and manage follow-ups for your patients.

To access it, click on the "Follow-ups" tab, then select "Dashboard" to be redirected to the appropriate page.

The follow-ups dashboard includes five main tabs:

  • Planned: List of follow-ups planned for a future date.

  • Unanswered: List of follow-ups sent to patients but not yet answered.

  • Assisted: List of patients who require assistance to complete the follow-up.

  • Dashboard: Main page displaying answered follow-ups by status (To be analyzed, In progress, or Done).

  • Archived: List of completed, cancelled, or expired follow-ups.


"Planned" Section

The "Planned" section includes all follow-ups that are scheduled, but whose programmed date has not yet been reached.

Assisted follow-ups — those requiring a phone call — are identified by the phone icon  to the left of the patient's name.

Follow-ups are automatically sorted to display first those with the nearest scheduled date. You can change the order by clicking the small arrows in the column headers .

Recurring follow-ups are identified by a circular arrow icon, indicating that the follow-up repeats automatically.


Available actions in the "Planned" section

In this section, you can manage your planned follow-ups using several options, each with a specific purpose:

  1. Edit

    Adjusts the follow-up settings such as method, timing, recurrence, customization, or additional information to better fit the patient’s situation.

  2. Send now

    Sends the questionnaire immediately, without waiting for the scheduled date.

  3. Trash bin (Cancel follow-up)

    Cancels the follow-up, disables recurrence if applicable, and moves it to the "Archive" section.


"Unanswered" Section

The "Unanswered" section displays follow-ups awaiting a patient response.

By default, follow-ups are sorted by:

  • Last sent date, and then

  • Next scheduled reminder.

You can change the display order by clicking the arrows in the column headers.

Hovering over the clock icon shows the initial send date and the number of reminders sent to date.


Follow-up expiration

Unanswered follow-ups automatically expire 30 days after the last send to the patient.

They are then labeled "Expired"  and moved to the "Archived" section.


Available actions in the "Unanswered" section

  1. Send reminder
    Allows you to follow up with the patient in different ways:

    • Send now: Send a reminder immediately.

    • Plan reminder or Modify planned reminder: Plan or modify a reminder.

      • Choose a specific date, or

      • Set a delay in days before sending.

    Scheduled reminders can be modified or canceled at any time.

    After sending a reminder, the clock icon automatically updates to reflect the reminder history.

  2. Fill questionnaire
    Opens the follow-up questionnaire in a new tab for completion with the patient.

  3. Trash bin (Cancel follow-up)
    Cancels the follow-up and moves it to the "Archived" section. Once canceled, the patient will no longer be able to respond, even if they still have the link.

🚨 Automatic reminder

A reminder is automatically sent 24 hours after the initial message if no response is received.


"Assisted" Section

The "Assisted" section includes follow-ups that must be completed by phone or in person.

For this type of follow-up, no SMS or email is sent to the patient: the follow-up is carried out directly by a team member.

Follow-ups are sorted by the scheduled date by default. You can change the display order by clicking the arrows .


Available actions in the "Assisted" section

  1. Start follow-up
    Opens the questionnaire in a new tab for completion with the patient during the interaction.

  2. Postpone
    Reschedules a follow-up without deleting it. Once postponed, it is moved to the Planned section.

  3. Trash bin (Cancel follow-up)
    Cancels the follow-up and moves it to the "Archived" section.

💡 Internal notes

Internal notes allow you to manually record calls, interactions, or remarks. Click on the pencil icon to edit them.


Postponed follow-ups

When a postponed follow-up returns to the "Assisted" section, the clock icon 

appears and allows you to view:

  • The original follow-up date, and

  • The number of times it has been postponed.


"Dashboard" section

The main dashboard is organized into three columns: "To be analyzed", "In progress" and "Done".

Each column represents a key step in the follow-up analysis process.

Columns

Description

"To be analyzed"

Groups all follow-ups completed by patients and awaiting professional review.

To start the analysis, simply click on the follow-up or drag the card to the "In progress" column.

The follow-up will open automatically and be assigned to the professional who begins the analysis.

"In progress"

Displays follow-ups currently being analyzed but not yet completed. This section makes it easy to resume an ongoing evaluation.

"Done"

Contains follow-ups whose analysis is completed.

These are automatically moved to the Archive at midnight.

Date and time the questionnaire was completed

Patient name

Assigned team member (if applicable)

Follow-up Details View

When opening a follow-up, several sections are available:

Follow-up information

This section presents the details of the follow-up, including the type, delivery method, specifications and any other relevant configuration settings.

Personal information

Here you will find the patient's personal information, along with direct access to their Empego profile by selecting "See patient's profile", allowing you to consult their history or other associated follow-ups.

Questionnaire responses

Here you can view all the answers provided by the patient:

  • Hovering over the icon allows you to see the exact question as it was asked.

  • Answers associated with a warning sign appear in red. You can hover over the red flag icon  for additional details, when available.

  • If a question has no answer, the possible response options are displayed — you can then complete the answer with the patient if needed.

Information to communicate to the patient

You can send a message to the patient at the end of your analysis:

  • Select a predefined message or write your own (maximum 150 characters).

  • Send via SMS or email by clicking "Send to the patient."

  • Sent messages display a timestamp.

💡The patient cannot reply to this message. This is not a two-way chat.

Interventions, treatments and tips

Based on the purpose of the follow-up and the patient's responses, interventions or recommendations may be suggested.

  • Select the relevant items for your analysis or add new ones using the button

    .

  • This section helps you document your clinical decisions or the advice you provide to the patient.

💡 Billable services

Billable services are found in the "Interventions" section. All billing DINs are automatically associated with the corresponding services. This simplifies the entry and management of interventions for billing purposes.

💡 Edit an item

Use the pencil icon to modify responses, treatments, or recommendations.

Follow-up notes

A text field is available to document notes or observations and ensure team communication.


Available actions after follow-up analysis

Once the follow-up analysis is completed with the patient, several actions are available from the follow-up card:

  1. Send to the patient
    Allows you to send a summary of the follow-up (selected sections) by SMS or email, including personalized recommendations.

  2. Print
    Two options are available:

    • Print follow-up: generates a summary to give to the patient or keep in the file.

    • Print a prescription: generates a prescription for the pharmacy team.

  3. Copy
    Allows you to copy the content of the follow-up (selected sections) to paste into another system or patient record.

  4. Duplicate
    Creates a new follow-up for the same patient, making it easy to schedule a subsequent follow-up.

Once the follow-up is completed, it can be dragged into the "Done" column.
If the card is open, clicking "Close and finish" will automatically update the status and move the follow-up to the appropriate column.


Follow-up assignment

Follow-ups can be reassigned at any time to distribute workload effectively. Whether the follow-up is in Planned, Unanswered, Assisted or directly in the dashboard, you can adjust its assignment.

You can assign one or multiple team members to the same follow-up.


Assignment filter

A filter at the top of the dashboard allows you to display follow-ups assigned to specific individuals or groups.

If no filter is applied, the user will see all follow-ups, whether assigned or not.

"Archived" section

The "Archive" section of the dashboard contains all follow-ups completed within your organization.

All follow-ups placed in the "Done" column of the main dashboard are automatically transferred to the archives at midnight.

Canceled and expired follow-ups are also stored there.


Actions available in the "Archive" section

  1. Search
    Search by follow-up reason, patient name, or phone number, and filter by date range.

  2. Review the follow-up
    By clicking on the follow-up, you can access all information, including the patient's responses, interventions, and team notes.

    • In this same window, you also have access to the following functions: "Send to the patient," "Print," "Copy," and "Duplicate."
