Follow-ups Dashboard

To access the follow-ups dashboard, click on the "Follow-ups" tab, then on "Dashboard."

The follow-up dashboard is divided into four sections:

  • Planned: List of follow-ups scheduled for a later date;

  • Unanswered: List of follow-ups that have been sent to the patient but have not been answered, or follow-ups for patients who need to be called;

  • Dashboard: The main page where completed follow-ups are displayed for analysis;

  • Archived: List of completed or cancelled follow-ups.


"Planned" Section

The list of scheduled follow-ups that have yet to reach their dispatch date is displayed. The list is organized to show the subsequent follow-ups to be sent first.

In this section, you can perform the following actions:

  • Modify: You can access the follow-up's parameters. For example, you can modify the send date, activate or deactivate recurrence, and if the follow-up is recurrent, you can modify the recurrence period and the recurrence end time;

  • Send to patient: By opening the follow-up card via the "View" button, the first button on the bottom left allows you to immediately send the questionnaire to the patient, regardless of the date sent;

  • Cancel follow-up: You can cancel the follow-up by opening the follow-up card. If the patient has the link, they will no longer be able to answer the questions, and the follow-up will be moved to the "Archived" section of the dashboard.

  • Deactivate recurrence: If the follow-up is recurrent, when you open the follow-up card, you will see "Deactivate recurrence" instead of "Cancel the follow-up." This button lets you make the follow-up unique, deactivate the recurrence, and cancel the scheduled follow-up.


"Unanswered" Section

The list of follow-ups awaiting response is displayed. Follow-ups for which the patient needs to be called are also displayed at the top of the list, with a telephone symbol to the left of the list. Otherwise, by default, follow-ups are sorted according to the date the follow-up was sent.

In this section, you can perform the following actions:

  • Start follow-up/Fill in form: Opens the follow-up questionnaire in a new tab, allowing you to answer questions with the patient;

  • Send reminder: When you click on "View" to open the follow-up card, the first button on the bottom left allows you to send a reminder to the patient to complete the follow-up questionnaire. This button is not available for assisted follow-up. When a reminder is sent, the "Last reminder sent on:" section of the follow-up information will be updated.

  • Cancel follow-up: You can cancel the follow-up by opening the follow-up card. If the patient has the link, they will no longer be able to answer questions, and the follow-up will be moved to the "Archived" section of the dashboard.


"Dashboard" Section

The main dashboard is divided into three columns: "To be analyzed," "In progress," and "Done." All follow-ups answered by patients and ready to be analyzed by the pharmacist appear in the "To be analyzed" column. When the pharmacy is prepared to examine the follow-up, he can open it by selecting the follow-up or dragging it into the "In progress" column. The follow-up will then open automatically.

On the follow-up preview, you have access to the following information:

  • Reason for follow-up;

  • The presence of alarm signs in the patient's answers (illustrated by a red flag to the right of the reason for follow-up);

  • The date and time when the patient submitted the completed questionnaire;

  • The name of the patient for whom the follow-up was done;

  • The patient's telephone number.

When you open the follow-up, you have access to the following information:

  • The patient's personal information and access to their Empego patient profile;

  • Follow-up information;

  • Patient's answers to the questionnaire:

    • By clicking on the (?) icon, you can see how the question was asked, and you can modify their answers by clicking on the pencil icon;

    • The answer will be displayed in red if associated with an alarm sign. You can hover your cursor over the red flag icon to see the definition related to the alarm sign, if applicable;

    • If a question has not been answered, you will see the possible answer choices and can answer the question with the patient if required.

  • Information to send to the patient: You can choose from the pre-written options or write your message (maximum 150 characters) to send to the patient via SMS or e-mail by clicking on "Send to the patient" at the bottom right of the section. If a communication has already been sent, the date and time it was sent are written instead.

  • Suggested interventions, treatments and advice by reason for follow-up:

    • You can select the items relevant to your follow-up with the patient.

  • The comments section is where you can leave notes about the follow-up.

After analyzing your follow-up with the patient, you can perform the following actions with the follow-up card:

  • Send the patient a summarized PDF copy of the follow-up (with the option of choosing which sections you want to send). The PDF can be sent by SMS or e-mail;

  • Print a summarized PDF copy of the follow-up (with the option of choosing which sections you wish to send);

  • Copy the follow-up information to paste it into your patient file (you can choose which sections you want to copy);

  • Duplicate the selected follow-up to reprogram the same follow-up assigned to the same patient.

The follow-up can then be completed. It can be dragged into the Completed column, or if the card is still open, clicking "Close and finish" will automatically change its status and move it into the appropriate column.


"Archived" section

The archived section of the dashboard provides access to all follow-ups at your pharmacy. At midnight, all follow-ups entered in the "Done" column of the main dashboard are automatically moved to the archives, as are follow-ups that have been cancelled.

There are several ways to consult the archives:

  • The search bar, with which you can search by patient name, telephone number, date of birth and reason for follow-up;

  • The date selection is automatically set for the last six months, and the interval can be modified as required.
