Guide - Start a Consultation

Learn how to start a consultation to structure data collection and support patient care.

The Consultations module allows you to send a questionnaire to a patient or complete it together with them. The pharmacist then analyzes the responses in the dashboard.

If you have access to the Consultation module, the "Consultations ▼" option will appear at the top left of your screen, next to your establishment's name.

Step 1 – Start a Consultation

To start a consultation, click on the "Consultations" tab, then select "Start a consultation."


Step 2 – Select the Consultation Reason

In the search bar, enter keywords related to the patient's condition, then select the appropriate reason.

  • Common reasons are also suggested.

Use simple keywords (1 to 2 words) to get the best results.


How to Choose the Right Questionnaire?

  1. Specific questionnaires
    Use when you clearly know the patient's issue.
    Examples: skin burn, constipation, conjunctivitis

  2. “Problem…” questionnaires
    Use when the exact issue is unknown, but you know which system is affected (skin, eyes, digestive, etc.).

    👉 Tip: search using the keyword "problem."
    Examples: skin problem, digestive problem, eye problem

  3. "Medication" questionnaire
    Use for any question related to a medication, OTC product, or natural health product.

    👉 Always type "medication" in the search (not the drug name).
    Examples: side effects, missed dose, interaction, dose adjustment

  4. "General consultation" questionnaire
    Use as a last resort when no other questionnaire applies, as it collects less specific data.

🚨 Avoid full sentences or medication names, as this limits suggestions.

Step 3 – Define Consultation Details

Select the patient's location:

  • Onsite (default)

  • On the phone

  • By appointment

Then choose how the questionnaire will be completed:

  • By the employee (assisted): you complete the questionnaire with the patient

  • By the patient, via:

    • SMS: questionnaire sent by text message

    • Email: questionnaire sent by email

    • Shareable link: link to send via a messaging platform

    • PIN for tablet: a 4-digit code for the patient to complete the questionnaire on a tablet in your pharmacy

Step 4 – Patient information

Select the patient for whom the consultation is intended.

If the patient has never completed a consultation or follow-up with Empego:

  • Click "Create new patient"

  • Fill in the required information

If the patient already has an Empego profile:

  • Search using the search bar

  • Select their name

  • Click "Send to patient" or "Start questionnaire"

You can search for a patient using:

  • First name

  • Last name

  • Health insurance number (RAMQ)

  • Phone number

🚨 If multiple profiles appear, use a second identifier (e.g., date of birth, phone number, or email address) to confirm you have selected the correct patient.

💡 Managing patient contact information

It is possible to add multiple phone numbers and include a description for each (e.g., mobile, home).

To modify or update this information:

  • Click "Modify patient's profile"

  • Add or update phone numbers

  • Provide a clear description for each number to help with selection during sending

This ensures the correct number is used, especially for SMS communication.


Step 5 – Complete the questionnaire

Depending on the selected method:

  • If sent to the patient

    • Ensure the patient has received the link and allow them to complete it independently.

  • If completed with the patient

    • Ask the questions exactly as displayed

    • If you are not comfortable asking a question, you may skip it

    • Questions marked with a red asterisk are mandatory

    • Use "Next" and "Previous" to navigate
