Admin Users' view in Enrollsy is much different from that of a Customer/Primary Account Holders. Admins have a "backend" view, while Customers have a "frontend" view of the software. The following are some elements that Admins can see that Account Holders can't (and vice versa).

Enroll Form Elements

The Primary Account Holder can Enroll from the Enrollsy app, and the Enroll Form looks very much the same as the one that Admins can view on the Enroll page. Here are the main differences:

  • Required Fields

    Admins can skip most fields except the default required ones (Primary Account Holder's first name and email address, and Enrollee's first and last name). Customers have to fill out every required field to get through the Enroll Form.

  • Enrollment Conditional on Age

    The setting that restricts enrollment in a particular Program based on age is overridden by Admins when testing the Enrollment Form.

  • Unpublished Enrollment Periods

    Admins can view unpublished Enrollment Periods in the list of Programs:

  • Full Programs

    Admins can also view full Programs. They will be marked by a red "Full" beside the name. Customers will not see full programs at all.

  • Required Pricing Options

    Admins can check/uncheck required fees (see below). These are automatically checked for the Customer (cannot be changed).

  • Payment Info

    Admins can skip the Payment Info section (as long as they keep all boxes UNCHECKED under Pricing Options). If you are still in TEST mode, you can go through the Payment Info with a test credit card/ACH account. If you are NOT in test mode, keep the boxes unchecked and this section will be skipped. NOTE: If you have Payment Plans, you will need to UNCHECK all boxes in the payment plan section to zero to bypass the payment part!

  • Forced Auto-Pay

    If you have the "Force Auto-Pay" setting on under Payment Settings on the My Company page, Customers will see a message on the Payment Information pay:

    That message does not show up for Admins in the Enroll Form.

  • Email Confirmations

    Admins will see the options to send email confirmations, as well as one to add required Documents to enrollment. These are used for when Admin Users are enrolling Customers themselves.

The Customer's view of their Account looks exactly like the one that Admins can view, with these exceptions:

  • Login Access

    Primary Account Holders have a toggle, located under the Secondary Account Holder, like the one below, that gives the Secondary Account Holder shared login access.

  • Internal Notes

    Admins have Internal Notes located on the Account page, Enrollee page, and Billing page. These are notes that only Admin Users can view.

  • Program Action Buttons

    Admin Users can see multiple extra things on the Enrollee page that Customers can't see. These include the enrolled on date, a deactivate Account toggle, a Go to button where they quickly go to the Documents or Activities page, and an Action button where they can resend the email confirmation.

The Customer's Transactions page is the same as the Transaction History on the Billing page for an Admin. Here a few key differences:

  • Transaction History

    Besides having the options to post or edit transactions and create invoices, the Transaction History looks much the same for both Admins and Customers. There is one additional column on the Admin view called "Classification," which is usually just the Company name and is an internal setting.

  • Printing/Downloading Transactions

    Customers have the options to download all transactions, or print a statement or transaction summary. These are the only actions they can make on the Transaction page.

Further reading: As an Admin, you can create your own Customer (or Instructor) account. This will allow you to log in with your own email (you can use the same one you log in as an Admin).
