How to Handle Accounts that Need to be Separated

Learn four options to manage accounts that need to be divided into separate accounts

You may run into this scenario: You have a family with one Enrollsy account but are either divorced or separated. Here are options for this.

Option 1 - Secondary Account Access

The first option is to utilize Enrollsy's feature that allows a Primary Account Holder to grant access to a Secondary Account Holder. The Primary Account Holder can give the Secondary Account Holder their own login access to Enrollsy using the Secondary Account Holder's email address.

This enables the Secondary Account Holder to set up their own password, ensuring that both Account Holders have independent access to the enrollment information without the need to share passwords. It's important to note that when this access is granted, the Secondary Account Holder will have full access to Enrollsy, including any saved payment methods, and can make changes as well. Additionally, each Account Holder must have a unique email address associated with their account to use this feature.

Option 2 - Payer on One Account

The second option is to add a payer to the account. Enrollsy supports setting up multiple payers on an account that can pay for portions of the enrollment fees. These payers can be set up on Auto-Pay, or Admin users can charge their payment methods for them.

Option 3 - Separate Account

The third option is to create a new account for the Secondary Account Holder using the "New Account" tab on the Enroll form page and then move the Enrollees and enrollments, depending on the number of Enrollees.

One Enrollee

If the parents have only one Enrollee, you can duplicate the Enrollee and their enrollment(s) into the separate parent account. However, there are some caveats to this:

  • The Enrollee will be in the Class twice, which will affect any rosters. To see a workaround for this, please take a look at Option 4 below.

  • Check-ins/Outs will have to be done for EACH enrollment (an Admin user may need to check in/out the duplicate Enrollee if parents are checking in or out students)

Two Enrollees

If the parents have two Enrollees, you can split them between parents. This is usually the easiest route if they are paying for them 50/50.

Three or More Enrollees

If you have three or more Enrollees, the parents or an admin must choose which ones go on each account, along with their enrollment(s).

Adding/Removing Enrollees and Enrollments

To add an Enrollee and their enrollment(s) to another account, you will have to re-enroll them into the new account or have the parent re-enroll them using their email address (the new account). You can give the parent a coupon code for any payment due at enrollment that has already been paid.

Once the Enrollee is added to the new account, they will need to be deleted from the original account. See this article for steps on how to delete an Enrollee. Once the Enrollee is deleted from the original account, the enrollments that were on that Enrollee will also be deleted.

Payment Plans

If there were any Payment Plans on the original enrollments, they may need to be set back up on the new parent account. An admin user will need to do this manually. One Payment Plan can be used for all enrollments (called a Program Payment Plan), or you can have one Payment Plan per class. Learn more about Payment Plans here.

Transactions/Invoices

We can move one of the Enrollees to a new parent account along with any transactions that are associated with that child. Any account-level invoices will stay on the current account. Let us know via the chat bubble within Enrollsy if you need us to do this.

Option 4 - Separate Accounts (New EP/Program)

This option is in conjunction with Option 3 above, which can include the following:

  • Creating a new account for one parent

  • Adding or removing Enrollees and enrollments

  • Adding or removing Payment Plans or Invoices/Transactions

For this option, you can create either a separate Enrollment Period (EP) or a separate Program for these types of accounts. You could name it "Duplicate Accounts," "Separated Account Holders," or whatever you want. Then when you create a new parent account, you can enroll the Enrollee into this new EP or Program.

This option can be a better option if you use Rosters or the Check In/Out Activity so that Enrollees are not in the same Class twice.

This can easily be done by duplicating either the Enrollment Period(s) or Program(s). See the following articles for steps in duplicating these.
