Job Lists

Job Lists allow you to create and manage tasks before assigning them to a schedule.

Rather than allocating dates, times, and users immediately, Job Lists act as a planning workspace where you can build a list of jobs that will later be dragged directly into your schedules.

This is particularly useful during the early planning stages of an event when you know what needs to be done, but haven't yet decided when or who will do it.

Creating a Job List

To create a Job List:

  1. Navigate to Job Lists in the left-hand menu.

  2. Click Add Job List.

  3. Enter a name for the Job List.

  4. Optionally select a department.

  5. Click Save.

If you have multiple Job Lists, you can switch between them by clicking the current Job List name and selecting another Job List from the dropdown menu.

Creating Jobs Individually

To add jobs one at a time:

  1. Open a Job List.

  2. Start typing the job name.

  3. Click outside the field.

The job will automatically be created.

You can then optionally add additional information such as:

  • Action

  • Department

  • Supplier

  • Location

  • Tags

This metadata can help with filtering, grouping, and scheduling later.

Importing Jobs from a Spreadsheet

If you already have a task list in Excel, you can import jobs in bulk.

To import jobs:

  1. Click Import Jobs.

  2. Select Download Excel Template.

  3. Enter your jobs and metadata into the template.

  4. Save the file.

  5. Upload the completed spreadsheet.

  6. Click Save.

All jobs will be created automatically and added to the Job List.

Adding Jobs to a Schedule

Once you're ready to start scheduling work, jobs can be dragged directly from the Job List into a schedule.

To do this:

  1. Open your Schedule.

  2. Click the right arrow on the left-hand side to expand the side panel.

  3. Select Jobs and expand which job list(s) you want to view.

  4. Click the job you want to schedule. The selected job will highlight purple.

  5. Click and drag onto the schedule at the desired date and time.

The job will be converted into a schedule item and automatically removed from the Job List.

You can then continue assigning all of the other schedule item details.

Creating a Job List from a Schedule

You can also create a Job List from an existing schedule. This is particularly useful at the end of an event when you want to preserve all completed tasks and use them as a starting point for future planning.

When a schedule is cloned into a Job List:

  • All schedule items are converted into jobs

  • Dates and times are removed

  • Tasks become available for future scheduling

  • The new Job List can be assigned to any event

A common use case is creating next year's planning list from this year's completed event schedule, giving your team a ready-made set of tasks to begin planning from.

How To:

  1. Navigate to Schedules in the left-hand menu.

  2. Locate the schedule you want to convert into a Job List.

  3. Click the Actions button on the right-hand side of the schedule.

  4. Select Clone to Job List.

  5. Enter a name for the new Job List.

  6. Select the event you would like the Job List assigned to.

  7. Click Create.

A new Job List will be created containing all jobs from the original schedule, ready for future planning and scheduling.

Why Use Job Lists?

Job Lists help separate task planning from schedule planning.

Benefits include:

  • Build task lists before dates are confirmed

  • Import large task lists quickly

  • Drag jobs directly into schedules

  • Keep planning flexible

  • Reuse previous event schedules as future planning templates

This makes Job Lists a powerful tool for recurring events and long-term operational planning.
