Roles and permissions explained

A full breakdown of what Owners, Admins, Members, and Guests can each do in Examply.

Examply has four roles: Owner, Admin, Member, and Guest. Each role controls what a person can see and change across the workspace, projects, and billing.

Use the table below to see exactly what each role can do before you invite someone or change an existing teammate's role.

The four roles

  • Owner — the person who created the workspace. There's always exactly one Owner.

  • Admin — manages people, billing, and workspace-wide settings.

  • Member — works in projects and tasks day to day.

  • Guest — a client or contractor limited to the projects they're invited to.

Admins can do almost everything the Owner can, with one exception: only the Owner can delete the workspace entirely.

How roles compare to teams

Roles and teams control two different things. A role decides what a person can do across the whole workspace — create projects, manage billing, and so on. A team is just a group of teammates, like Design or Client Services, used for organizing and reporting. Putting someone on a team doesn't change their role, and changing their role doesn't add or remove them from any team.

Changing a teammate's role

  1. Open workspace settings and go to People.

  2. Find the teammate and click the role dropdown next to their name.

  3. Select the new role.

Role changes take effect immediately — a Member promoted to Admin gets access to billing and people management right away.

Note: Transferring the Owner role is permanent. Once you make another teammate the Owner, you're demoted to Admin and can't undo the change yourself.


Tips

  • Keep the number of Admins small — it's easier to audit workspace access with fewer people managing billing and permissions.

  • Use Guest instead of Member for anyone outside your company, even if they need to do real work in a project.
