Guest access lets you bring clients and contractors into Examply without giving them visibility into your whole workspace. A Guest only sees the specific projects they're invited to, and can't see teammates, billing, or other projects.
This article covers inviting a guest, what they can and can't do, and how to remove guest access when a project wraps up.
Note: Guest access is available on the Pro and Enterprise plans. On Free and Starter, you can invite teammates but not restricted guests.
Invite a guest to a project
Open the project and go to Project settings.
Click Invite guest.
Enter the guest's email address.
Click Send invite.
Examply emails the guest a link scoped to that project. If they don't already have an Examply account, accepting the invite creates one with the Guest role.
What guests can and can't do
Action | Guest |
View the project they're invited to | Yes |
View other projects in the workspace | No |
Create and comment on tasks in the invited project | Yes |
Edit or delete tasks created by other people | No |
Track time on tasks in the invited project | Yes |
See the People list or billing settings | No |
Be added to a team | No |
Guests count separately from your teammate seats, but each guest still needs an invite per project — inviting the same contractor to three projects means sending three invites.
Inviting a guest to more than one project
A guest's access is scoped per project, so adding them to a second project is a separate step from the first invite.
Open the second project and go to Project settings.
Click Invite guest.
Enter the same email address the guest already used.
Click Send invite.
Examply recognizes the existing account and adds the project to the guest's access without creating a second login.
Remove a guest's access
Open the project and go to Project settings.
Find the guest under People on this project.
Click Remove.
Removing a guest from a project immediately revokes their access to it. If the guest isn't invited to any other project, they can no longer sign in to the workspace at all.
Tips
Use Guest access instead of Member for freelancers and clients, even short-term ones — it keeps your billing details and other projects private.
Review guest access at the end of a project alongside archiving it, so former contractors don't retain access longer than they need to.
