Inviting teammates

How to invite teammates to your Examply workspace, choose their role, and manage pending invites.

Add teammates to your Examply workspace so they can see projects, pick up tasks, and track their own time. Anyone with the Owner or Admin role can send invites; the role you choose determines what the new teammate can do once they join.

This article covers how to send an invite, which roles are available, and how to manage pending invites.

Note: Each teammate you invite takes up a seat on your plan. The Free plan includes 3 teammates. Starter, Pro, and Enterprise plans bill per seat, so adding a teammate on a paid plan updates your next invoice.

Invite a teammate

  1. Open workspace settings and go to People.

  2. Click Invite teammate.

  3. Enter the person's email address.

  4. Choose a role: Admin, Member, or Guest.

  5. Click Send invite.

Examply emails the person an invite link. Once they accept and set a password, they appear in People with an Active status.

Invite several teammates at once

If you're setting up a new workspace, you don't have to send invites one at a time.

  1. Open workspace settings and go to People.

  2. Click Invite teammate, then click Add multiple.

  3. Paste a comma-separated list of email addresses.

  4. Choose a single role to apply to everyone in the list, or set roles individually before sending.

  5. Click Send invites.

Each address in the list counts as one invite against your available seats, so check your plan's teammate limit before inviting a large group.

Choose the right role

Pick the role based on what the teammate needs to do, not just their job title:

  • Give Admin to people who manage the workspace, billing, or other teammates.

  • Give Member to anyone doing day-to-day work in projects and tasks.

  • Give Guest to clients or contractors who should only see specific projects.

You can change a teammate's role at any time from the People page, and your own role is shown as Owner if you created the workspace.

Resend or revoke an invite

Invites stay pending until the person accepts. From People, find the pending row and use one of the following:

  1. Click Resend invite to send the email again.

  2. Click Revoke invite to cancel it before it's accepted.

Revoking a pending invite doesn't use up a seat, so it's safe to revoke and re-invite if someone entered the wrong email address.


Troubleshooting

  • If a teammate says they never received the invite email, check their spam folder before resending — resending generates a new link and invalidates the old one.

  • If you're on the Free plan and can't send an invite, you've likely reached the 3-teammate limit. Upgrade to Starter or above to add more seats.

  • Contact support@examply.com if an invite is stuck in Pending for more than 24 hours.
