How do I upload my employees to Fair HQ?

Understand how to download our CSV template to ensure that your employee data is in the right format.

As a part of your Diversity, Equality and Inclusion audit, Fair HQ will anonymously survey your employees to understand their feelings on key areas within the business.

To begin, we'll need you to upload a list of your employees to the Fair HQ platform in CSV format.


1. Download the Template πŸ’»

  1. Go to Audit > Employees and choose Add Employees.

  2. Download either the template for Excel (or another spreadsheet tool) or use the Google Sheet link lower down.

2. List your employees ✍️

  1. Open the template in your software of choice and delete any example data

  2. Keeping the header row unchanged, paste the employee data exported from your HR system into the relevant rows/columns

  3. The first four columns are required: first and last names, email and level.

For Private Equity and Venture Capital companies, the Level will be mapped as follows in your reports:

  • Employee -> Operations

  • Manager -> Investment

  • Leadership -> Partner

You'll still need to put Employee/Manager/Leadership in the spreadsheet for now but please choose the levels according to how you want the employees included in those reports.

3. Download as CSV & Upload to Fair HQ ⬆️

  • Download or save your file as a .CSV

  • Navigate to Audit > Employees and click the Add employees button

  • Choose Ready to Upload at the bottom and upload your CSV file

State the salary for the employee

Full numbers only, no extra punctuation eg 30000 or leave blank

We'll calculate the gender pay gap for our Strategy call, and other pay gaps (ethnicity, disability, etc.) if there's enough people represented.

Record any bonuses this employee received within the year

Full numbers only, no extra punctuation eg 1500 or leave blank

currency

State the currency of the salary above

Only use 3 letter currency codes (ISO 4217) or leave blank

city

State the city the employee is based in

Explore the inclusion and equality experience of employees based in different countries where 5 or more participants complete the survey.

* Note that while insights are not available for all data collected, we aim to add more insights over time. If you already have this information in the platform, those insights will automatically unlock. Or you can opt to retroactively update the information at the time.
