Employee FAQ: How do Fair HQ handle my data?

This article explains how we use your feedback and handle your data securely and protect your identity.

At Fair HQ, we help companies to make their workplaces fair for everyone. We'll assess the processes and policies in your company, but we need to hear from you to get the whole picture.

Your experience at work and the questions we ask about your identity help our technology figure out what needs to change, and where to start to get the biggest improvements. We work with your company to prepare a tailor-made and evidence-based strategy for building equity, diversity and inclusion across the whole organisation. The more input we have from you, the better we can tailor our recommendations to the real people who will be most affected by it.

Q. What will my employer see?


We will never (ever!) share your individual demographic data or your responses with your employer. It is completely confidential: your answers are aggregated and encrypted.


When you complete a Fair HQ survey, the privacy agreement you accept is between us and you, not your employer. They will only ever receive aggregated reports.

The reports only identify demographic groups when there are at least 5 individuals belonging to that group so that no one can be personally identified.

So if 3 people in your company identify themselves as Asian in the survey, we wouldn't show this group. Instead we group people from ethnic minorities more broadly (but still only if that group contains at least 5 people in total).

Your data is kept securely: Your name or email is in a different database to your survey answers and we use encrypted tokens to enable things like sending you an invitation.

Q. What if I don't want to disclose this information? Will you ignore the rest of my responses in the survey?

Any question can be skipped.

We will use any answer you give us in whatever scores it applies to even if we don't have every answer.

The more we know, the more we can identify patterns and themes, but you should only disclose what you feel comfortable with.

Q. How did you decide what questions to ask?

Our assessment survey has been developed by us with behavioural scientist Dr. Bibi Groot, then tested and validated with scientific best practices and real people. If you're curious to learn more about the process behind our inclusion scale, you can read about it here.

We want you to feel confident, comfortable and excited to work with Fair HQ! We literally want to make work fair and a huge part of that is making sure you're satisfied with our methods and the way we collect data.
