How do bookings work?

Here's how to keep track of your bookings!

Each time a client books one of your workshops through our site, you'll receive:

  • an email and a text

  • a reminder 3 days before the workshop

  • a reminder 2 hours before the workshop with the final list of participants

To see the final list of participants, you have two options:

  1. In your Artisan Back Office : by going directly to the event page via the calendar in your Artisan back-office, just ahead of your workshop.

    Click on the slot, and then on "See the event".

  2. In the summary email that is sent to you one hour before the workshop starts.

📝 Change the number of available places in a time slot

1. If you want to add your direct bookings

If you have direct bookings, you must fill them in right away by going directly to your event page (as explained above).

This step is essential to avoid overbooking and disappointing customers who would then have to reschedule, or even cancel their workshop with you.

It also means we won't have to contact you to ask if you are maintaining a workshop that does not have the minimum number of participants on your calendar, while it actually does.

2. Occasional changes: in the number of places available in a time slot, and/or a special title

You can also modify the number of places available in a given slot by changing the capacity (by adding or removing available places). This change will only affect this modified slot and will have no impact on other events. Same goes for the additional slot information.

Be careful ! If you have direct bookings, it is essential that you use the 'create a reservation' function.

If you only decrease the capacity of the time slot, we won't receive the information about the minimum number of participants required for that workshop, and might even cancel it.

➡️Please note that a client has the right to cancel or reschedule without penalty up to 4 days before the workshop takes place.

😶‍🌫️ What if a customer shows up with a gift voucher but no booking?

If a customer comes to a workshop with a gift voucher but didn't book a reservation, it's up to you whether they can assist to the workshop or not. If you have room for the client, you can allow them to participate, but you'll then have to give us their gift voucher code as soon as possible, so that we can check its validity and change its status to 'used'. If you skip this step, you won't be paid!

So, remember to write down the gift voucher code and/or the email address of the person who purchased it. This will make it easier for us to register this booking on the now past event.
