When you log in to your Artisan back-office, you will find all the data for your workshops on the Performance page. Two tabs will appear: the "Sales capacity" tab and the "Sales monitoring" tab.
Understanding the "Sales capacity" tab
This tab is the gateway to organising and filling your workshops. Whether you have current vouchers or not, it's always important to have future slots available so that you're well referenced on the site and customers can buy and plan ahead.
Here you'll find all your workshops broken down into 3 key pieces of information: the number of future slots in your calendar, your capacity in relation to your stock of associated gift vouchers, and the date of the most distant slot in your calendar.
These indicators can be accompanied by 3 alert levels:

The number of future slots
If you have too few future slots in your calendar, this may prevent customers from using their gift voucher, or worse, it may discourage them from booking with you or offering your workshop for fear of a lack of availability on your part.
We therefore recommend that you have at least 5 slots available in the next 3 months. Of course, if you're unavailable for a period of time, add a period of unavailability to your calendar. The more future slots you have (especially if you add some in the next 4, 5, 6... months), the higher you'll go in the algorithm.
But be careful: the goal is to be able to run these workshops, so you need to adjust the number of slots to the minimum capacity you need to maintain your workshop. If you need advice, click here!
Current capacity
This is the number of places currently available for booking at a particular workshop. If there are not enough places available, or no places at all, we will tell you so that you are aware of the risk. There are two possible reasons for this:
The workshop is full: all future slots in a workshop are full and no one can register.
There are no future slots for this workshop: if a workshop has no more bookable slots and we know that this is not because the workshop is full.
Alert levels are calculated according to your stock of active gift cards and participants waiting to be replaced, which you can see just below. We recommend that you have as many seats available as you have active vouchers and reservations waiting to be replaced. This way, customers currently associated with your workshop are guaranteed to be able to book, and it won't prevent new buyers from finding a place to sign up!
Active gift cards ?
This is the number of places currently in stock in the form of gift vouchers associated with your workshop. Workshop gift vouchers in this stock are valid for 1 year from the date of purchase. They are redeemable at any time and we send reminders every 45 days on average to encourage people to use them. You can see all the features of the gift vouchers by clicking here.
This number changes constantly, decreasing as vouchers are used and increasing as new vouchers are purchased. A stable balance is not bad news! By default, the maximum stock is 100 places: you can ask us to change this in the instant chat box in your Espace Artisan or by email (artisans@wecandoo.com). Once the stock is full, it will no longer be possible to buy gift vouchers for your workshop.
Participants on standby?
This is the number of places currently "on hold" following a cancellation. The cancellation may have been made by you or by the customer (if they were on time). The booking may have come from a gift voucher or credit card purchase.
By default, the booking is then placed on 'hold', waiting to be rebooked at a later date, but remains temporarily associated with your workshop. These are customers who are eagerly awaiting a new appointment! They can choose a new date from their customer area and choose whether or not they want to be rebooked.
The furthest time slot
This is the date of the last slot currently displayed on your calendar. After this date there will be no more online slots available for that workshop. It is essential that you think about adding new slots to your calendar well in advance and do not wait until the last minute, otherwise customers will undoubtedly try to change workshops and future buyers will fall back on another workshop.
What can I learn from my sales capacity?
Strike a balance by playing the game of sliding availability to stay one step ahead of customer demand, while keeping an eye on the statistics. That's the recipe for a good calendar that maximises the chances of filling and minimises frustration!

Understanding the "Sales tracking" insert
Here you'll find some figures showing your progress since the start of your Wecandoo adventure: the number of workshops held, the number of workshop participants and the turnover generated (total amount paid out, minus commission).
On the sales details page, you'll find a graph showing the payments you've received (thanks to bookings, whether they came from Wecandoo gift vouchers or not). This graph shows you past payments and future projections, which can help you to see a trend. These projections are based on current bookings scheduled for these dates: customers have until D-4 to postpone/cancel their booking. All these past or projected earnings have been calculated without commission.
You can filter by year, by workshop and export the results using the button below. You can also use the 'All years' view to see how bookings have developed over several years!
Understanding the ‘Privatisation’ tab
The following data will be displayed: your response rate, the number of confirmed privatisations, and the amount of privatisation payments.
