How do slot proposals work?
By activating the 'Suggest a time slot' option on your 'Manage My Workshops' page in your artisan back-office, you give your customers the opportunity to suggest new time slots if none of the current online time slots match their availability. Each customer can suggest up to 3 different time slots (morning, afternoon, evening).
As soon as a client sends you a suggestion for a time slot, you will receive an e-mail informing you of the request and containing the client's details (first name, last name, e-mail address, message associated with the request).
What should I do if I receive an proposal?
You can easily accept or decline offers, but you must of course respond to them so as not to keep the customer waiting. Here are the steps to follow:
1. Go to your artisan back-office and click on 'Slot proposals' in the menu.
2. This will bring up the page showing all the slot proposals that have been sent to you and are still waiting for your reply. You'll be able to read the message associated with the customer's request to give you a little more context.
3. You then choose whether or not to add a slot to the proposed time slots. You will be informed which slots already exist: if some of them already have registrations, you will not be able to select them.
If you decide not to accept the offer, simply click on the 'Decline' button and a polite email will automatically be sent to the customer informing them of your unavailability and inviting them to reapply if necessary.
If you accept the offer, simply click to add the slot to your calendar. A window will open asking you to select the start time of your workshop. Don't forget to confirm and complete the process! The slot you have chosen will be automatically added to your calendar and an email will be sent to the client inviting them to book the requested slot.
In all cases, you can write a message to the client to accompany your choice. The customer who made the request will receive the message in their email notification.
⚠️Please note: opening a slot via a slot proposal means that the slot is open to all customers, it is not a privatisation request! In addition, if the customer changes their mind, the slot will remain open and other customers will be able to sign up for it.
