🔐 Customer privatisation request

A customer has sent you a privatisation request and you're wondering how it works?

❓ What is a privatisation?

By activating the 'Privatisation' option on your 'Managing my activity' page in your artisan back-office, you give your customers the opportunity to propose new slots if none of the current online slots match their availability. Each customer can suggest up to 10 different slots. To do this, they go to the Wecandoo page for your workshop and click on the 'Privatise Workshop' button.

As soon as a customer makes a privatisation request, you will receive an email informing you of the request and the associated message.

Firstly, it's important to understand the difference between a 'date suggestion' and a 'privatisation request'.

A privatisation request is exclusive to the requesting customer and is therefore not available to other customers. On your calendar, a privatisation request in progress or completed will be marked with a small button.

The request may come from :

  • An individual

  • A company

In this article, we'll explain how a request from an individual works.

⚠️ If you receive a privatisation request from a company, you will receive a quote and the deadlines will be different. We explain all this in detail right here.


💰 How is the price of a privatisation calculated?

You can enter a specific capacity for privatisations directly in your artisan back-office. The price paid by the customer will then systematically correspond to this minimum: a customer who makes a request will have to pay at least the break-even price, even if the number of places in his request is less than this break-even point.

Practical example: Your workshop costs €50 per seat and you have set your capacity for private hire at a minimum of 3 and a maximum of 6.

  • If a customer wants to privatise for two people, they will still have to pay the price of three seats (your defined break-even point): they will pay €150!

  • If a customer wants to privatise for three people, they will pay the price of 3 places: €150.

  • If a customer wants to privatise for four people, they will pay the price of 4 places: €200.

Once you have given your answer(s), the customer has 72 hours to pay and confirm the privatisation. After this time, you will both be notified of the expiry date and the customer can reapply if they wish.


☑️ How do I accept/refuse a privatisation request?

For each privatisation request, you will receive an e-mail and a text message summarising the customer's request. You then have 72 hours to respond : click on the link provided in the e-mail, or go directly to your artisan back-office, under 'Privatisation requests'. After this 72-hour period, the request expires. Our team will not take over.

By clicking on 'Manage the request', a window will open and you will be able to choose the option of your choice: choose one or more slots from among the customer's different time slots, offer other slots outside these time slots, refuse the request.

You will be warned of overlaps with existing slots, whether they are without registered participants (the empty pre-existing slots will then be removed from the calendar to make room for the potential privatisation slot) or with registered participants (these pre-existing slots with registered participants will not be selectable).


In all three cases, you'll be able to comment on your choice with a message, even if you reject a slot. The text box for this will appear at the last stage, so you won't be able to miss it 😉

You'll also be able to use the chatbox to chat with the customer later on!

📆 What happens if I accept a privatisation?

If you decide to open one or more slots, they will all be created on your calendar, while the customer chooses the one that suits them best. Once they've made their choice, the others will disappear.

⚠️ You should therefore only accept slots that you are available for: as soon as a slot is accepted, the customer can book it immediately!

Once you have confirmed one or more slots, the requesting customer has 72 hours to complete the request. You will be notified by email and SMS when the request is confirmed or expires. Any unused slots will be cancelled.
