Settings - Company Information

This is the primary settings for your company

Summary

This is the first thing to set up in Fieldwork. The info you enter here appears on customer-facing documents such as Work Orders, Invoices, and Estimates. It also controls things like your time zone, currency, and how customers reach you.

Key Points

Information here is used for:

  • Return address on Work Orders, Invoices, and the payment stub

  • Office location on the Calendar map

  • Company logo on Work Orders, Invoices, Estimates, and the Customer Portal

  • Email address customers reply to

  • A2P 10DLC SMS authorization (needed for text messaging)

At minimum, fill in:

  • Company name

  • Business address

  • Phone number

  • Email address

  • Time zone

  • Outgoing email

How to Fill out Company Information

  1. Click the Settings gear icon in the upper-right corner of the Dashboard

2. From the Settings menu, under the heading Company Setup, click Company Information

  • Company Name - Your business name. Must match your legal business name if you're using text messaging.

  • Business Address - The address used on all your outgoing documents. Entering the correct address also pins your office on the Calendar map.

  • Phone, Fax, Web Address - Standard contact info. Web Address is required if you're using text messages.

  • Applicators License #, Business License - Your license numbers. These appear in documents that require them.

  • Tax ID - Your business registration number. Required if you're using text messages.

Logo

  • Click Select to upload your logo.

  • Find your logo on your computer and click Upload

  • Your logo will appear at the center-top of your Work Orders and Invoices

  • Once uploaded your image will appear here

  • Accepted file types: JPG, PNG, GIF.

  • Disable default email template - When checked, Fieldwork's default email template will not be used.

  • Disable default email template in campaign(s) - When checked, the default email template will not be used for campaigns specifically.

 

  Header Color

  • Click the box to the right of header color and click your mouse on the right side of the color spectrum where the color matches your company color; then click the left side to zero in on a specific color; this will be the color of your Dashboard

  • Time Zone - Pick the time zone your business runs in. This is the system-wide time zone for your whole account

  • Locale - Pick the language and region your account uses. Options include English (in several regions), Spanish, French, Georgian, Romanian, and Russian.

  • Currency Symbol - Pick the currency symbol that shows up on documents — like $, £, €, etc.

  • Show distance in - Pick Miles or Kilometers for how distances appear in Fieldwork.

Outgoing Email

The email address that all outgoing emails from Fieldwork will be sent from, and the address customers reply to.

  • CC: (Carbon Copy) the above email on all outgoing emails. When checked, the outgoing email address gets a copy of every Estimate, Work Order, and Invoice email sent, so you have a record of it.

  • Forward incoming Messenger emails - When checked, incoming Messenger emails are forwarded to your outgoing email address.

  • Forward outgoing Messenger emails - When checked, outgoing Messenger emails are forwarded too.

  • Forward incoming Messenger SMS - When checked, incoming Messenger text messages are forwarded to your outgoing email.

  • Forward outgoing Messenger SMS - When checked, outgoing Messenger text messages are forwarded too.

 

Customer Portal

Your account includes a free Customer Portal where your customers can view their service history, pay invoices online, and access device trend reports.

Credit Card Portal Message

This is the text the customer sees on the portal when they save a credit card on file. It explains that they're authorizing your company to charge the card for unpaid invoices and future scheduled services.

You're welcome to use this template:

"I understand that by entering my credit card on file, I authorize [Your Company] to charge it for unpaid or overdue invoices and for future regularly scheduled services. Charges will not exceed the amount indicated on each service invoice, and a receipt for each payment will be emailed to me as confirmation. The charges will appear on my statement with the description "Pest Control".

I understand that I can remove my credit card from my account at any time, and that the credit card information is stored securely on a PCI-compliant data server."

  • Customers see this message on the portal when they click Your Account, then Payment Methods.

  • For customers to see this credit card portal message, on the portal they'll click the Your Account link and then click Payment Methods.

  • If you have a PayPal account, before setting up your account to receive PayPal payments, set your portal domain at Settings/Customer Portal

  • For customers to see this credit card portal message, they'll click the Your Account link, then click Payment Methods.

PayPal Merchant

  • If you have a PayPal account, before setting up your account to receive PayPal payments, set your portal domain at Settings/Customer Portal to ON

  • Go back to Settings/Company Information, enter your PayPal email or merchant ID

  • Click the green Save at the bottom of the screen
