Create the contract template your customers receive, review, and sign

How to Get to Service Agreements

From the top of the Navigation bar, click Settings (gear icon)

Under Company Setup, click Service Agreements

Click the Create a new Service Agreement button

Type in the Name of the agreement (this is the internal name used to identify the template)


Add Your Services

Click +Add One-Time Initial Service and add any service performed once at the start, such as an initial treatment or setup visit

Click +Add Recurring Services and add any services that repeat on a schedule, such as monthly or quarterly visits


Set Up the Contract Information

Click +Add Contract Information to expand the body of the agreement, then:

  • Check Disable pre-payment in the portal if you don't want customers paying before service

  • Choose a PDF Template (use System Default unless you've built a custom one)

  • Check Repeat header on every page to show your header on every page

  • Set the Accent Color using a hex code (e.g., #14694d) or the color picker

  • Upload a Header Image — your logo or letterhead

Note: The Header Image must be a PNG or JPEG file, max 5 MB

  • Enter the Title shown at the top of the document


Fill In the Content Sections

Complete the content blocks that make up the agreement body:

  • Overview — an introductory paragraph

  • Services provided — fills in automatically from the services you added

  • Payment Terms — describe billing; check Hide annualized values to leave out yearly totals

  • Service Coverage & Warranty — what's covered and any warranty terms

  • Guarantee & Acceptance — your guarantee and acceptance language

  • Signatures — click Add text content to add wording above the signature line

Use the move handle (⊕) to drag blocks into a different order, or click Remove to delete one

(Optional) Under PDF Attachment, click Choose File to append a PDF, such as standard terms and conditions, to the end of the agreement

Note: The PDF Attachment must be a PDF file


Write the Email Template

Write the message your customer receives in the Email Template editor

Insert Placeholders from the list on the right (like {Customer Name}, {Initial Price}, {Renewal Date}) to auto-fill details

Use {Button to Portal}YOUR TEXT{/Button to Portal} to add a button linking the customer to the portal to review and sign


Set Renewal and Expiration & Save Your Agreement

  • Click +Add Renewal Information to set automatic renewal terms

  • Click +Add Expiration to set when the agreement expires

  • Click the green Create Service Agreement button to save, or Cancel to discard

  • Repeat these steps to create another Service Agreement template.
