Create statuses to match your work flow

Summary

Work Order Statuses are used to let you know what state a Work Order is in. There are five default statuses: Complete, Flagged, Missed, Cancelled, and Scheduled.

Create additional statuses such as Finished - Needs QA, Mosquito Service, Lawn Care, Gutter Cleaning, Christmas Light Setup and so forth.

Add Status

To add a status click the Add Status button. 

You can change how the custom statuses are treated in the Calendar. For example, Lawn Service can act like a scheduled appointment. Use a unique color for that status to get an at-a-glance view of all your lawn appointments in the Calendar.

Change the color associated to each status by clicking the color box to the right of it. Follow the same instructions as you did for Header Color in Company Information.

If you want to get very specific with the color you can type in the Hex color code number. This is a 6-alphanumeric code number that maps out to specific colors. For a list of the Hex color code and its color, see Hex color code numbers.

Acts Like Details:

  • Complete

    • Creates an invoice if the billing frequency is 'For Every Work Order'

    • Emails the completed service report if [x] Send reports automatically is on

    • Moves the work order to the Service History Tab in the service location page

    • Will not be updated with changes if the work order series is edited

    • Cannot be used to update an entire work order series

  • Flagged

    • Shows as a list item and (1) number in the online top navigation menu: alert bell

    • Can be used to update an entire work order series (all future work orders are displayed in the alert bell list)

    • Does not create an invoice or email the customer a completed service report

  • Missed

    • Displays the work order in the Work Pool & Missed list for rescheduling via online Map Drag n'Drop tool

    • Does not create an invoice or email the customer a completed service report

    • Cannot be used to update an entire work order series

  • Cancelled

    • Moves the work order to the Service History Tab in the service location page

    • Does not create an invoice or email the customer a completed service report

  • Scheduled

    • [x] Work Pool work orders show in the work pool list

    • Work Orders not in the work pool show on the calendar on the date and time they are scheduled

    • Can be used to update an entire work order series

    • Send out appointment reminders if work orders are associated with an active reminder template

Note Once you add a Status it is static, meaning is stays as you typed it in and you cannot make changes to it. You can delete an added status until you've used it in a Work Order. Once it's used you can't delete it, so plan carefully. 

Finished - Needs QA

If you are new to Fieldwork or if you have a new technician, create a status Finished - Needs QA. This allows the office to review the invoice to help ensure the pricing is correct before sending it off to the customer. 

In the Fieldwork Mobile app, the technician will Save & Exit the Work Order and in the mobile app Calendar change the status to Finished - Needs QA. In the Fieldwork Office app, the technician will tap Actions and then tap Change Status & Save, and then tap Finished - Needs QA.

After updating the Work Order Statuses and applying the status to the Work Orders your Calendar might look like this:

The mobile app will show the colors in the form of bars on the left side of the Work Orders in the Calendar.
