Preferences

The Preferences section in settings allows you to customize booking rules, budget limits, approval processes, and notifications.

πŸ“ Navigating to Preferences

1️⃣ Log in as a Company Admin.
2️⃣ Click your profile dropdown in the top right corner.
3️⃣ Select Company Admin β†’ Settings.
4️⃣ In the left-hand navigation bar, click Preferences.

Once on the Preferences page, you’ll see four tabs at the top:

  • Bookings

  • Limits

  • Approval

  • Notifications


πŸ—“ Bookings Tab

Manage settings related to on-demand space reservations:

  • Allow All Users to Reserve Certain Space Types β†’ Toggle off space types you don’t want employees to book (e.g., private offices).

  • Enable All Locations & Space Types for Admins & Bookers β†’ Gives admins and bookers full override rights regardless of restrictions.

  • Allow Users to Reserve Multiple Seats β†’ Toggle on to let users book more than one seat at a time.

  • Require a Personal Payment Method β†’ Users must have a personal card or designated company card on file to book.

  • Allow Booking on Behalf of Others β†’ Enable this for assistants or managers to book for teammates.

  • Company Favorites Filter β†’ Show company-favorite spaces by default in search results.

  • Custom Booking Reasons β†’ Add or reorder booking reasons for employees to choose from when booking.

πŸ’° Limits Tab

Set budget and seat limits for bookings:

  • No Limits β†’ Toggle everything off to allow unrestricted booking.

  • Monthly Budget Limits β†’ Set a total company budget (e.g., $10,000/month).

  • Department, Space Type, or Location Budgets β†’ Requires HRIS integration for location data.

  • Restrictive vs. Priority Budgets:

    • Restrictive β†’ The first limit met applies (e.g., if an employee has multiple limits that apply to them, the most conservative limit is applied).

    • Priority β†’ Applies the first budget in priority order that matches the user.

  • Seat Limits by Department β†’ Restrict how many seats a department can book weekly or monthly. (e.g., Engineering team limited to 5 seats per month).

βœ… Approval Tab

Control when bookings require admin approval:

  • Require Company Admin Approval for All Bookings.

  • Approval for Crossing Usage Limits β†’ Triggered when employees exceed the Limits tab settings.

  • Approval for Bookings Over a Set Price β†’ Example: Any booking over $50 requires approval.

  • Send All Approval Requests to a Designated Email List β†’ Example: hr@example.com.

Choose how employees are notified when teammates book a space:

  • Notify when a teammate in their location books a space.

  • Delivery options: Email, Slack, or Microsoft Teams (based on connected integrations).
