Gable Roles & Permissions

Learn the different user roles in Gable, what each can do, and the booking permissions.

👥 User Roles in Gable

Gable has five main user roles, each with different levels of access:

1. Admin

  • Full access to all company settings, spaces, and reports.

  • Can manage company billing, budgets, geo-fences, and user permissions.

  • Can book spaces for themselves or on behalf of others, bypassing certain booking limitations.

  • Can invite, remove, or change user roles.

2. Booker

  • Typically an Executive Assistant or Office Manager.

  • Can book spaces for themselves or on behalf of others (with the same override abilities as admins—see details below).

  • Cannot edit company settings or billing.

3. User

  • Can book spaces for themselves within company-set limits.

  • Cannot book on behalf of others.

  • Limited to the permissions, budgets, and geo-fences set by admins.

4. Receptionist

  • Designed for front desk or on-site personnel.

  • Can check visitors in via Visitor Management tools.

  • Does not have booking permissions unless combined with another role

  • Can see relevant on-site schedules for the spaces they support.

5. Approver

  • Can approve or reject booking requests (depending on company approval settings).

  • Does not gain additional booking capabilities

🎯 Side Role: Event Organizer

  • Can create and manage events through Gable.

  • Can be assigned to any user role.

  • Automatically enabled for Admins by default.


🔄 Change a User’s Role

To update a user’s role in Gable:

  1. Under your profile dropdown, navigate to Company Admin → Company Users.

  2. Using the search bar locate the user you’d like to update.

  3. Under the Role column, click on their current role to enable the dropdown.

  4. Choose the new role from the dropdown (e.g., Admin, Booker, User).

  5. Your change saves automatically.

💡 Tip: Only Company Admins can change user roles.


🆕 Admin & Booker Override Capabilities

Admins and Bookers can book on behalf of others:

  • Both Admins and Bookers can override all the same limitations when booking for others that they can override for themselves.

  • This means:

    If you can book it for yourself, you can now also book it for someone else.


🔓 Limitations Admins & Bookers Can Override (When Booking for Themselves or Others)

  1. HQ desk assignment – book a desk even if the user is assigned to another desk.

  2. HQ booked another desk/private office – bypass restrictions for users who already have a booking.

  3. Space types – book restricted space types.

  4. Multiple seats in common space (flex) – reserve more than one seat.

  5. Space in a location not exposed to the company – book at hidden or non-listed locations.

  6. Geo-fences – book outside the company’s geo-fenced areas.

  7. Spaces in the company’s “spaces to exclude” list – override blocked space lists.

  8. Company limits (budget)NEW: Both admins and bookers can now override budget limits when booking on behalf.


⚠️ Warnings for Overridden Limitations

When booking on behalf, any overridden limitation will display a warning message so you’re aware of what’s being bypassed.
