On-Behalf Visits

πŸ‘€ Step 1: Navigate to Your Visits

From your profile drop-down, select Your visits.

Then, click the New Invite button.

🏒 Step 2: Select the Office & Choose a Host

This invite will look similar to creating a standard Gable invite. Fill in the following:

  • Select the Company Office

  • Click the Invite on Behalf button directly below the office selector

  • Type in the name of the host you are creating the invite for, and select them from the dropdown

πŸ”” Step 3: Configure Host Notifications

A toggle will appear giving you the option to send email notifications to the host about the visit. Toggle it on if you'd like them to be notified, or leave it off if not needed.

πŸ“‹ Step 4: Complete the Invite Details

Continue through the standard visitor management invite flow and fill in:

  • Type of visit

  • Date and time of the visit

  • Any notes

  • Visitor details

Once everything looks good, click Send Invite.

βœ… Step 5: Confirm & View the Invite

Your invite is on its way! To verify, navigate to Company Admin β†’ Company Visits from your profile drop-down and select the relevant date.

In the visits table, you will see:

  • Visitor name

  • Host name

  • Date and office

  • Visit type and status

  • Organized By β€” this column shows who created and sent the invite

Under your own Your visits tab, you will also see the invite listed with two owner bubbles: one for the actual host and one for the organizer.


πŸ—‘οΈ Cancelling the Invite

Since you created the invite, it is considered one of your visits. You have full access to cancel the invitation at any time if needed.


πŸ” Who Can Use This Feature?

Creating visits on behalf of another person is available to Admins and Bookers only β€” the same roles that can make bookings on behalf of others.
