Scenarios

Scenarios are working copies of your floor plan — make changes in a draft, preview the impact, and publish only when you're ready.

Written by Madeline Frank

Gable's floor plans now work on a scenario model. Instead of every edit going live immediately, your changes are made in a scenario — a working copy of your floor plan — and nothing reaches employees until you explicitly publish it. Your booking experience doesn't change at all; this only affects how admins edit floor plans.

🗺️ Live Floor Plan vs. Scenarios

  • Live floor plan – the published version employees see and book against

  • Scenario – a draft copy of the floor plan where you can make changes safely

When you open the floorplan editor, the dropdown at the top shows which version you're viewing — the live floor plan or a scenario — and lets you create a new scenario.

✏️ Making Changes

  1. Open your office and go to the floorplan editor

  2. Make any change — delete or add a desk, change an assignment, move a point of interest

  3. The moment you edit the live floor plan, Gable automatically creates a scenario for your changes

  4. Keep editing as long as you like — the live floor plan (and your employees' bookings) are untouched until you publish

💡 Everything you could do on a floor plan before, you can still do — the only difference is that changes now wait in a draft instead of going live instantly.

📜 The Changelog

The log in the bottom right corner of the editor records every change in the scenario — desks added or deleted, assignment changes, points of interest moved — along with what happened, who did it, and when. It's your source of truth for everything that changed before you publish.

🚀 Publishing a Scenario

When you're ready to make a scenario live:

  1. Open the scenario and click Apply changes

  2. Review the summary — number of changes, any conflicts, and how many users are impacted

  3. Check the impact details — for example, if you deleted desks, you'll see exactly which future bookings will be canceled

  4. Confirm and apply

The scenario becomes your new live floor plan, and the previous live version is archived — so you can always reference it or reinstate it later.

💡 Affected users are notified when their booking is canceled.

🗂️ Managing Scenarios from the Offices View

The company offices list now shows each office's floors, resources, and status:

  • Live – the published floor plan

  • Draft – a scenario in progress

  • Archived – previously published versions (use the filter to show these)

From the office menu you can also create a new scenario — Gable suggests a name automatically, and you can rename it or add a description. Open any scenario to edit it, or discard it if you no longer need it.

💡 Office settings are shared across all scenarios. Rules, permissions, and office details aren't versioned — changing them applies everywhere.

🔀 Multiple Scenarios & Conflicts

With the Space Planning add-on, you can create several scenarios from the same floor plan — for example, a Q3 V1 and a Q3 V2 — work on them in parallel, and compare approaches before deciding which to publish.

Because multiple scenarios fork from the same live floor plan, they can disagree. When you publish a scenario after the live plan has changed, Gable detects conflicts and walks you through them:

  • You'll see exactly what's in conflict — e.g., one scenario deleted a desk that another scenario assigned to someone

  • Choose how to resolve it: keep your version or keep the live plan's version (in some cases a merge option is available)

  • After you save a resolution, Gable recalculates the impact — including any additional bookings that would be canceled — before you apply

💡 If your plan includes one scenario at a time, you'll see a notice when trying to create a second one. Contact us to learn more about the Space Planning add-on.
