Archiving and Restoring an Item

How to archive an item that is no longer in use, what happens to recipes that reference it, and how to restore an archived item.

What Archiving Does

Archiving an item inactivates it without removing any of its history. An archived item:

  • Stops appearing in the main Pantry view and in the recipe book search.

  • Stays linked to existing recipes, production records, and orders so historical data is preserved.

  • Cannot be added as an ingredient to new recipes.

Archive an item when you no longer purchase or use it but want to keep historical records intact.

How to Archive an Item

  1. Open the item page from the Pantry.

  2. Open the actions menu in the top right of the item page.

  3. Select Archive.

  4. Confirm when prompted.

Finding Archived Items

Archived items do not appear in the default Pantry view. To find them, open or create a custom Pantry view that includes archived status. See Pantry Views and Create a custom pantry view for setup.

Restoring an Archived Item

Open the archived item from a custom Pantry view that includes archived items. Use the actions menu on the item page to restore the item. Once restored, the item is available again in the main Pantry and can be used in new recipes.

Archive vs. Delete

  • Archive keeps the item record and its history. Existing recipes that used the item continue to show it. The item cannot be added to new recipes until it is restored.

  • Delete removes all records and history of the item from Gaia. Use Delete only when an item was created in error and has no historical references.
