Recipe Statuses
Draft: A new recipe before it has been published for the first time. Drafts do not appear in the recipe book and cannot be added to menus. Gaia saves all edits to a draft automatically.
Active: The most recently published version of the recipe. This is the version that appears on production records and public menus.
Revision: An in-progress edit to an Active recipe. The Active version stays live while you work on the revision. Edits are saved automatically.
Archived: A version that has been replaced by a newer one, or a recipe that has been deactivated. Archived recipes do not appear in normal search results.
Editing an Active Recipe
When you edit a recipe that is already Active, Gaia automatically creates a Revision. The Active version remains live for school menus and production records until the Revision is published.
While a Revision exists, the recipe page shows the in-progress changes in edit mode and the Active version when viewing or printing.
Publishing a Revision
Open the recipe in the Pantry.
Confirm your changes are complete on each tab.
Click Publish on the recipe page.
Optionally add a publish note describing the change.
The Revision becomes the new Active version, and the previous Active version moves to Archived.
Discarding a Revision
To abandon the changes in a Revision and keep the current Active version, use the Discard option from the recipe actions menu. Discarding removes the in-progress edits and restores the recipe to its last published state.
Version History
Each published version of a recipe records who published it, when, and the publish note. Use the recipe's version history to review past versions and the reasons they were published.
Where Each Status Appears
Draft: hidden from the recipe book, cannot be added to menus.
Active: visible in the recipe book; appears on menus, production records, and the public menu.
Revision: the recipe book and menus still show the Active version. Your in-progress changes are visible in edit mode on the recipe page.
Archived: hidden from the recipe book unless the archived filter is on; appears on historical production records.
