Understanding Coordinated Reprint Delivery

When you license a Gartner Magic Quadrant or Critical Capabilities report through Flex Reprints, Gartner follows a special process called “coordinated delivery.”

Here’s what you need to know to prepare for a smooth and successful campaign launch.

What is a Coordinated Reprint Delivery?

Coordinated Delivery is the process Gartner uses to distribute Magic Quadrant and Critical Capabilities Reprints to all licensed clients at the same time.

The Coordinated Reprint Delivery ensures every client has an equal opportunity to launch their campaigns and reach their audiences—no one gets early access.

Why Does Gartner Use Coordinated Delivery?

Many clients want to be first to market with their Reprint, but coordinated delivery creates a fair, level playing field for everyone.

While the initial launch is exciting, remember: these reports remain valuable throughout the year. There’s no single “season” for technology buying, so consistent promotion over time is key to maximizing your results.

When does the Coordinated Reprint Delivery occur?

Coordinated delivery typically occurs within 48 business hours after the report is published on Gartner.com.

Occasionally, this window may be extended due to holidays or high report volume.

All deliveries are scheduled for 11:00 a.m. ET.

Your Client Success Manager will notify you as soon as your delivery date is confirmed.

You’ll receive your unique Reprint link by email at the scheduled time, provided you have at least one campaign asset approved and ready to go live.

While news may break that the Magic Quadrant and Critical Capabilities have published, be assured that no entity can distribute the full report or generate leads from it until the Coordinated Reprint Delivery.

Reprints clients will be the very first entities distributing full copies of the report to the public.

How Can I Ensure My Assets Are Ready on Time?

To help you meet the coordinated delivery timeline, we offer a preliminary review process:

  • Submit your campaign assets for review before the report is published. Our team will provide early feedback and help you address most edits in advance.

  • After publication, simply resubmit your assets for a final review to confirm any details that depend on the final version (like quotes or positioning).

  • Once you have final approval, you’ll be ready to launch as soon as you receive your Reprint link.

Participation in preliminary review is optional, but highly recommended to minimize last-minute edits.

Can I Promote Anything Before the Report Publishes on Gartner.com?

Before the report is live on Gartner.com, all information about your inclusion and placement must remain confidential.

While you might consider posting vague teasers (“big news coming soon”), our experience shows this does not add significant value. We recommend waiting until the report is officially published for maximum impact.

What Can I Promote After the Report is Published, But Before Coordinated Delivery?

Once the report is live on Gartner.com, you may:

  • Announce your inclusion and placement in the report

  • Share approved, non-vendor-specific quotes

  • Share your own marketing messages (clearly marked as your company’s, not Gartner’s)

However, you must wait until coordinated delivery to:

  • Use official report graphics or the Gartner logo

  • Distribute your Reprint link

  • Begin lead generation activities (like collecting email addresses)

If you publish a landing page or other assets during this period, be sure to exclude restricted elements.

What Can I Do After Coordinated Delivery?

Once you receive your official Reprint link, you’re cleared for a full campaign launch:

  • Share your Reprint link publicly

  • Use approved report graphics and the Gartner logo

  • Begin lead generation activities

  • Publish and promote all approved campaign assets

Remember, all assets must have final approval before going live.

And while the initial launch is important, your report will remain valuable throughout the year—consistent promotion will help you maximize your investment.
