How to manage your inbox

What is the Inbox?

The inbox is the central hub for managing all direct interactions with prospects. It consolidates conversations from your campaigns, allowing you to respond manually while managing the automation flow.


Filtering and Prioritization

By default, the inbox shows only conversations with Replied, Interested, and Booked status, keeping your view focused on the most relevant conversations.

  • All: displays every conversation regardless of status.

  • Unanswered: shows prospects who replied but haven't received a response yet. This is your daily to-do list.

  • Archived: contains conversations that have been closed or finished.


Understanding Status Tags

Each prospect in the list is marked with a visual status tag to indicate where they stand in the conversation:

  • Pending your reply: highlights conversations where the prospect sent the last message and is waiting for your response.

  • Replied: indicates the prospect responded to a previous message in the sequence.

  • Interested: shows prospects who have expressed buying intent.

  • Pending booked: the initial invite has been sent, but the prospect hasn't accepted yet.

  • Booked: The prospect booked a meeting.


Conversation Controls

When you open a specific conversation, you have access to several management tools at the top and bottom of the screen.

Top controls

  • Resume sequence: when a prospect replies, the automated campaign pauses to prevent robotic follow-ups. Use this button to restart the automation if needed manually.

  • Profile: opens the prospect's profile on The Outreach Platform in a new tab for additional context.

  • More options (⋯): quick manual actions like Mark as unread to save a message for later, or Mark as done to clear it from your view without archiving.

Bottom controls

  • Ask AI: helps draft responses based on the conversation context.

  • Schedule message: lets you queue a response to send at a specific time.


Conversation Timestamps and Status Badges

Inside a conversation, Spear shows timestamps for when a connection request was sent and when it was accepted.

Note: For Existing Network campaigns, where the prospect was already a connection, these timestamps don't apply since there's no connection request to send.

If a campaign's messaging is deactivated or reactivated mid-sequence, the conversation panel also shows a badge with the campaign name and date, so you know why the automation stopped or resumed.


Advanced Filtering

Click the filter icon next to the search bar to access advanced options: Status, Tags, More filters, and Unread only.


Filtering by Sequence

Inside More filters, you'll find the Sequence filter. It has two options:

  • In sequence: prospects with at least one step still remaining.

  • Done: prospects who completed every step of the sequence.
