Sending Emails in Your Sequence

How the Send email sequence step works: placement rules, connecting an email tool, and what happens when no email is found.

Once a prospect connects with you on LinkedIn, Spear can follow up by email, right from inside your sequence.

Where to add it

Sequence builder → Add step → Send email.

Placement rules

  • In cold campaigns, the Send email step can only be placed after a Send connection request step. It's disabled (with a reason shown) until one exists.

  • In Existing Network campaigns (prospects you're already connected to), Send email can be added directly, like a follow-up message, with no connection request step required.

Authoring the email

Add a subject and a body. Both the subject line and the body support the same personalization placeholders as your other message steps. Click the { } icon in either field to insert one. The body has the same character limit your connected email tool allows.

Available placeholders: {first_name}, {last_name}, {company_name}, {job_title}, {prospect_city}, {prospect_state}, {prospect_country}, {linkedin_industry}, {calendar_link}, {spear_profile_first_name}.

If a prospect has no value for a placeholder, it renders empty. City, state, country and industry are often unknown, so write the subject so it still reads well when one drops out. For example, "Quick idea for {linkedin_industry} teams" only loses one word, while "Anyone in {prospect_city}?" would be left with a blank.

Connecting an email tool

Send email needs an email tool (Gmail or Outlook) connected in your agent's Tools tab. If none is connected, the step shows a "No email tool connected" notice linking you there. You can still save your campaign with the step in it, it just won't send until a tool is connected.

Who it sends to

The prospect's enriched work email. There's no manual per-prospect override for the recipient.

If no email is found

Spear attempts to enrich it once when the step is due. If an email is found, the email sends; if not, the step is skipped and the sequence continues.

Seeing what happened

In the Messages tab, a sent email shows as "Email sent - [date] [time]" (hover to see the content). A skipped one shows as "Email skipped due to [reason] - [date] [time]", where the reason is either no email tool connected or no email on the prospect.

Note: Sending an email doesn't change the prospect's funnel status.
